Composer

Write once, adapt per channel, preview and schedule. Every field and button in the composer, what it does and what happens if you leave it. Attach a DM automation before you publish, and let Claude draft from a brief when you want it to.

The composer is where a post is written. One text, optional versions per channel, media, and a time. Open it with New post, with + next to a day in Calendar, or by clicking a post you already have.

Your first post, step by step

  1. Under Channels, click the accounts the post should go to. A picked account turns the colour of its platform. Click it again to take it off.
  2. Under Media, press Choose media and click the images or video you want. Press Use 1 selected (the number is how many you picked). Instagram needs at least one image or video.
  3. Write the post in Text on the Base text tab. Or write a short brief in Brief for the AI and press Generate draft.
  4. Look at Preview on the right. Each account has a card. A red line on a card means something must change before the post can go out.
  5. Want something different on one account, like hashtags on Instagram? Click that account's tab next to Base text.
  6. Pick a date and time in Publish at.
  7. Press Schedule. The post waits in Posts under Scheduled and goes out at that time. Or press Publish now to send it right away.

You can stop at any step. The post is saved as a draft while you type, and you find it again in Posts under Drafts.

What happens after you press Schedule
  1. You press Schedule: The post waits in Posts, under Scheduled
  2. The time comes: Postfjord looks for posts that are due every minute
  3. Sent to each account: Each account gets its own copy, with its own text and format
  4. Published: Posts shows a link to the live post on each account

If an account fails, Postfjord tries again by itself a few times before it asks you. See Posts.

Channels

The row of accounts at the top. Click one to add it to the post and click it again to take it off. Every account you pick gets its own tab, preview and settings.

  • If you pick none: you can still write and save a draft, but Schedule, Publish now and Generate draft need at least one account.
  • No accounts at all? The composer says so and links to Channels, where you connect them.

Media

Press Choose media to open your media library. Click the files you want. Each one gets a number, and the numbers are the order they go out in, so the image marked 1 is the first one people see. Press Use 1 selected (or Use 3 selected, and so on) to add them. Cancel closes the library without changing anything.

In the same window you can:

  • Upload a new file from your computer or phone. It is picked for the post as soon as it is up.
  • Press Create image to make a post graphic in the design editor.
  • Press Add text to the last selected image to put text on the image you clicked last.

The small red cross on a picture under Media takes it off this post. The file stays in your library.

What the media does to each account:

  • Several images become a carousel on Instagram and Threads, and a post with several photos on Facebook. On Instagram and Threads Postfjord switches the format for you when you add the second image.
  • One video goes out as a Reel on Instagram.
  • Images and a video together cannot go in a Post. The preview says so.
  • Instagram needs at least one image or video. A post with text only cannot go to Instagram.

Images are cropped for you. On Instagram a feed photo goes out in the tall 4:5 shape, cropped around the part of the photo that catches the eye. Other platforms get the whole photo. See Media library for sizes and file types.

Brief for the AI and Generate draft

If you turned on Write it myself in the Creative Dock, the brief, Rewrite, Shorter, Hashtags and Check post are hidden, and the composer is a plain place to finish your own words. Turn it off under How you write in the Dock to get them back.

Pick your accounts first. Then write a short brief ("Yin yoga Thursday 7 pm with Anna, last two spots, beginners welcome") and press Generate draft. On a computer, Cmd+Enter or Ctrl+Enter does the same.

Claude writes:

  • the Text on the Base text tab,
  • a version for each account you picked, when that account needs something different,
  • hashtags per account, and a first comment for Instagram when it fits.

Claude writes in your brand voice from Settings, Brand voice. Fill that in first and the drafts sound more like you.

What to know:

  • Generate draft replaces what is in Text and in the accounts' own text. Press it before you start writing, or copy your own words into the brief.
  • Nothing is published or scheduled. You read it, change what you like, and press Schedule yourself.
  • Next to the button you see why Claude wrote it that way and what it cost. Each draft costs a few cents from the workspace AI budget.
  • The button is grey until at least one account is picked.

Dictate the brief

Would you rather say it than type it? Press Dictate next to Generate draft, talk for up to three minutes and press Stop and transcribe. What you said lands in the brief as text, without the "um" and "like", so you can fix a name or a time before you press Generate draft. The recording stops by itself at three minutes. The first time, the browser or phone asks for access to the microphone.

OpenAI turns the recording into text. We never store the recording, and OpenAI does not use it to train its models. A minute of dictation costs less than a cent from the workspace AI budget. If the workspace uses ChatGPT as its own AI provider (Settings, AI), dictation runs on that key instead.

Text and the Base text tab

Text is the post. Every account uses it unless you give that account its own text in its tab. The number under the box counts characters. When several accounts are picked, it shows the lowest limit among them, for example 500 when Threads is one of them. The number turns red when the text is too long.

Under Base text you also see a line that starts More in each channel's tab:. It lists what each account's tab holds, like format, title or first comment. Click an account in that line to open its tab.

Link (optional) is one web address for the whole post. What happens to it depends on the account:

  • Facebook: a text post shows it as a link preview. A photo post gets it under the text. A video post leaves it out.
  • LinkedIn: it goes at the end of the text.
  • Threads: a post with only text shows it as a link preview. A post with images or a video leaves it out, so write the link in the text there.
  • X: it goes at the end of the text and counts as 23 characters.
  • Instagram: links in a post do not work there, so the post cannot be scheduled or published while Link has something in it.

Posting to Instagram and Facebook with a link? Leave Link empty, open the Facebook tab and put the link in Text for this channel. Instagram then posts without it.

Check a post before it goes out

Under the text, press Check post. In a few seconds you see four short notes: whether the text sounds like your brand profile, whether the first line makes people read on, whether there is a clear next step such as booking or a link, and whether the post may promise a health or money result that could be read as misleading. Green is fine, yellow is worth a look, red needs a change.

The check is advice only and never stops you from saving or scheduling. It reads the post text and your brand profile, and removes @handles, email addresses and phone numbers before the check. Write a variant on a channel tab and you can check that version on its own. If you change the text afterwards, the notes fade until you check again. A check costs a fraction of a cent from the workspace AI budget.

A tab for each account

Every account you pick gets a tab next to Base text, with its logo and name. A red ! after the name means something on that account must change before the post can go out. Open the tab and the reason is listed in red at the bottom.

Text for this channel

Leave it empty and the account uses Text from the Base text tab. Write something here and this account posts that instead.

Once an account has its own text, changes you make to Text no longer reach it. Empty the box and it follows Text again. The counter under the box shows this account's limit, hashtags included.

Rewrite, Shorter and Hashtags

Three buttons at the top of each tab ask Claude for help with this account only:

  • Rewrite writes this account's text again in your brand voice, fitted to the platform.
  • Shorter makes it shorter.
  • Hashtags suggests hashtags for the text and puts them in the Hashtags field, in place of the ones there.

Each one replaces what is in Text for this channel. The Base text stays as it is.

Hashtags

Type hashtags with a space or a comma between them. The # is optional. They are saved when you click out of the field, and they go out on a new line under the text. The label shows how many you have and the most the platform takes: 30 on Instagram and Facebook, 5 on LinkedIn, 1 on Threads, 3 on X.

Leave it empty and the post goes out without hashtags, unless you wrote some in the text.

Format

What kind of post it becomes on this account:

  • Instagram: Post, Carousel (2 to 10 images or videos), Reel (one video) or Story. A story shows only the first image or video, and Postfjord sends no text with it.
  • Facebook: Post or Video.
  • Threads: Post, Carousel (2 to 20) or Video.
  • LinkedIn: Post or Video.

Leave it and Postfjord picks for you from the media: Post for one image, and on Instagram and Threads Carousel when you add more images. On X the media decides, and the list is grey.

First comment (optional)

Instagram only. Postfjord writes this as the first comment under the post, a moment after it goes live. Many people put hashtags here to keep the caption clean. If the comment cannot be posted, the post still goes out without it.

Posts to X this month

When X is one of the accounts, the text box shows how many of the month's posts to X are used and how many more are scheduled. When they are all used, Schedule says when the next ones start. X counts a link as 23 characters and an emoji as 2, and the counter does the same. More in Channels, X.

Preview

On the right, one card per account shows the post as it goes out: the account name, the format, the first image or video, the text and the hashtags. With several files the card shows how many. When something is wrong, the card shows the first problem in red, with a count of the rest.

Pick no account and the preview is empty.

DM automation for this post

When an Instagram or Facebook account is picked, a card under Media lets you attach a comment-to-DM automation to the post before it goes out.

  1. Under Send a DM when someone comments, pick one of your comment automations. Leave it on None and the post has no automation.
  2. No automation yet? Press Create one from a keyword and fill in Keyword, Opening message, Button label, Message with the link and Link. Press Create one from a keyword at the bottom to save it. It is attached to this post right away.
What happens when someone comments your keyword
  1. Comment with the keyword: For example GUIDE under this post
  2. Opening message: A DM with your button, like Send me the link
  3. They tap the button
  4. Message with the link: The DM with your link lands in their inbox

The choice is saved with the post, and Posts shows it as a badge. The moment the post is published, on every picked Instagram or Facebook account, Postfjord attaches the live post to the automation, so it starts answering comments with the keyword at once. No guessing which post is next. After publishing, the card shows the automation read-only with Open automation.

Your plan runs a set number of automations at once. When you already have that many, the card says so, and a new one cannot be created here until you switch one off under Automation or move to a bigger plan under Account. See Automation for the rest.

Publish at

The date and time the post goes out. The label shows the workspace time zone in brackets, for example (America/New_York), and the time is read in that zone wherever you are. Change the zone under Settings, General.

A post you start from + in the calendar begins at 9:00 that day. A time in the past is refused with "That time is in the past."

Leave it empty and the post can only be a draft or go out with Publish now.

Drafts save by themselves

A new post and a draft save a moment after you stop typing. You see "Saving…" and then "Draft saved automatically". Close the page whenever you like: the draft is in Posts under Drafts and in Calendar under Unscheduled drafts.

A scheduled post does not save by itself. Your changes to it are kept only when you press Schedule again.

Save draft

Saves the post as a draft with no time. A draft never goes out by itself.

Press it on a scheduled post and the post comes off the schedule and becomes a draft. To change a scheduled post and keep it scheduled, press Schedule instead.

Schedule

Saves the post with the time in Publish at. Postfjord checks the post first. Schedule stops and says why when:

  • no account is picked,
  • an account tab has a red !, or
  • Publish at is empty or in the past.

Then Calendar opens with the post on its day. You can open it and change it until it goes out.

Publish now

Sends the post right away. A window asks "Publish now?" and lists every account it goes to. Press Publish now in the window to send it, or close the window to stop.

While it sends, a Publishing box shows each account: getting ready, sending, going live, published or failed. A video can take a few minutes while the platform processes it. You can leave the page. Publishing carries on, and the result shows under Posts.

Change, stop or delete a post

At the top right of the composer:

  • Cancel schedule on a scheduled post stops it from going out. It stays in Posts under Drafts, marked Cancelled, and you can schedule it again. Keep it scheduled closes the question and changes nothing.
  • Delete on a draft removes it for good.

A post that is publishing or already published opens read-only. The fields are grey and you cannot change it from Postfjord. A failed post shows what went wrong and three buttons: Retry, Back to draft and Delete. See Posts.

Members with the Viewer role see every post but cannot change one.

Client review

Posts you sent to a client for review show their answer at the top of the composer: waiting, approved, or asked for changes with their note. An answer changes nothing on the post. See Send posts to a client for review.

FAQ

Do I have to fill in every field?

No. A post needs one account, and a time if you schedule it. Instagram also needs an image or a video. Everything else is optional: leave a field empty and Postfjord uses the Base text, picks the format from your media, and posts without hashtags, link or first comment.

Why is Schedule grey?

Publish at is empty, or a save is running. Pick a time in Publish at and wait a second.

Why does it say "Fix the validation errors before scheduling"?

One of the accounts has a problem. Look for the tab with a red ! after its name, open it, and read the red lines at the bottom. Common ones: no image for Instagram, several images on the Post format, or a link on an Instagram post.

I changed the text, but Instagram still shows the old one. Why?

That account has its own text in its tab. Open the tab and empty Text for this channel, and it follows Text again.

I edited a scheduled post and pressed Save draft. Why is it not scheduled any more?

Save draft turns a post into a draft without a time. Pick the time again in Publish at and press Schedule.

What happens if I close the page before I press Schedule?

The post is a draft. It saved while you typed, and it waits in Posts under Drafts. It never goes out by itself.

Can I undo Publish now?

No. Once it is published, delete the post on the platform itself if you want it gone.

Why does Dictate say it may not use the microphone?

The browser or phone has said no to the microphone for Postfjord. In the browser, click the icon to the left of the address and allow the microphone. On a phone, open the phone's settings, find the browser or the Postfjord app and turn the microphone on. Then press Dictate again.

Which languages can I dictate in?

Speak the language you want the post in. English, Swedish and most other big languages work, and dictation writes what you said in the language you said it in.

Does Check post stop me from publishing?

No. It only shows notes. You decide what to change, and you can schedule or publish whatever the notes say.

How long can an Instagram caption be?

Up to 2,200 characters, hashtags included. The counter turns red past that. Instagram shows only the first lines in the feed, so put the important part first.

Can I add a first comment?

Yes. Instagram posts can have a first comment, often used for hashtags, so the caption stays clean. Open the Instagram tab and fill in First comment (optional).

Can I put a link on an Instagram post?

Not in the post. Instagram does not open links in captions, so Postfjord stops a post to Instagram that has a Link. Put the link in your bio, or attach a DM automation that sends it to people who comment.

Can I attach the automation to a post that is already published?

Yes. Open the automation in the wizard and pick the post under A specific post or reel; the composer card only binds posts that have not been published yet.

Can I publish the same post to several workspaces?

No, a post belongs to one workspace. Duplicate it from the queue if you need it elsewhere.
