Channels are the social accounts a workspace publishes to.
How connecting works
Press Connect on a card. A small window shows the steps before anything opens:
- Log in on the platform (Facebook, Instagram, LinkedIn and so on) and allow Postfjord. The platform opens in the same window, or in a sheet in the app.
- Back in Postfjord, your account is added. For Instagram + Facebook you tick the Pages and Instagram accounts that belong to this workspace. Every other card has one account, so Postfjord adds it for you. If that account is already in another workspace, you tick it first, so it never moves without you saying so.
- Done. The window says how many accounts were connected, and they show up on the card right away.
The window stays open while Postfjord works, so you always see which step you are on. If something goes wrong, the step says what happened and has a Try again button. If you close the platform's page before you are done, press Start again. Connecting never posts anything: Postfjord only publishes the posts you make and schedule.
Connecting Instagram and Facebook
Press Connect on the Instagram + Facebook card. Facebook asks which Pages Postfjord may access. Choose all current and future Pages: Facebook replaces your earlier choice every time, so picking a single Page would disconnect Pages used in your other workspaces. In the next step, inside Postfjord, you pick only the accounts that belong to this workspace.
Leave every permission ticked on the next page, too. If the one for posting is unticked, the list in Postfjord says so under each account it affects, and the window asks you to press Connect again once you are done.
Instagram without a Facebook Page
Many Instagram accounts have no Facebook Page. Use the Instagram only card for those:
- Press Connect on the Instagram only card.
- Sign in with Instagram and allow Postfjord. Leave every box ticked: the one for posting says Optional, but without it Postfjord cannot publish.
- Postfjord gets that one account and adds it to this workspace.
If the box for posting was unticked, the window says so and asks you to press Connect again.
The account needs to be a professional account (Business or Creator), which you switch on in the Instagram app under your profile settings. Posting, the inbox, comments, automations and analytics work the same as through Facebook.
Instagram asks you to sign in again after 60 days of no use. Postfjord renews the access by itself before then, as long as the account stays connected.
If the same account is connected both ways, the one you connected last is the one Postfjord uses.
Threads
- Press Connect on the Threads card.
- Sign in with Threads and allow Postfjord. Leave Create and share posts on Threads profile ticked under Edit access: it says Optional, but without it Postfjord cannot publish.
- Postfjord adds that Threads profile to this workspace.
If that box was unticked, the connect window tells you right away: Postfjord cannot post to the profile yet. Press Connect again and leave the box ticked. If you close the window instead, the profile is added but shows Postfjord cannot post here under its name until you press Reconnect.
A Threads post holds up to 500 characters and one topic tag. It can be text only, one photo or video, or a carousel of 2 to 20. A link in the text shows as a preview. Postfjord publishes and schedules Threads posts; replies and Threads analytics come later.
- Press Connect on the LinkedIn profile card.
- Sign in with LinkedIn and allow Postfjord.
- Postfjord adds your LinkedIn profile to this workspace.
Posts go to your own profile: text up to 3,000 characters, one image, up to 20 images, or one video up to 500 MB. A link in the post is added at the end of the text. Hashtags work as on LinkedIn.
LinkedIn asks you to sign in again every 60 days, and Postfjord cannot do that for you. So Postfjord reminds you:
- The date shows under the account on Channels as Reconnect by. It turns orange in the last week. Any time on that day is still in time: the connection runs out during the day after.
- A week before the date, a notice appears at the top of every screen and on the dashboard. The workspace's owners and editors get one email, and so does the person who connected the profile.
- The person whose LinkedIn profile it is presses Reconnect on the LinkedIn card by that date and signs in to their own LinkedIn account. It takes a minute. Your posts and settings stay as they are, and the next date is 60 days later.
Only the owner of the profile can renew it. If someone else presses Reconnect and signs in, Postfjord adds their own profile as a new channel, and the old one still runs out. The notice and the email name the profile, so you know who to ask.
If the date passes, posts to LinkedIn stop until you reconnect. Press Reconnect, then Retry on the posts that did not go out.
Company pages need a separate approval from LinkedIn and come later.
X
Posting to X is a paid add-on, not part of a plan. It costs $12 a month per workspace and includes 40 posts to X a month, with or without links. Add it under Account, X add-on, on any plan except Free. On Founder it is included.
- Add the X add-on for this workspace under Account.
- Press Connect on the X card under Channels.
- Sign in with X and allow Postfjord.
A post to X holds up to 280 characters, counted the way X counts them: a link is always 23 characters, and an emoji is 2. The post's link goes at the end of the text. You can add up to 4 images, or one video in MP4 or MOV up to 512 MB and 20 minutes. Images and a video cannot go in the same post.
The X card under Channels shows how many of the month's 40 posts are used. When you write a post to X, the text box shows it too, with how many more are scheduled. When they are all used or scheduled, Postfjord does not let you schedule another post to X before they renew, and says when that is. A post that fails does not use one of the 40. If a scheduled post reaches X after the 40 are used, it stops with a message and nothing is posted or charged. Press Retry once they renew.
Postfjord asks X for permission to read your profile, to read and write posts, to upload media and to stay connected without asking you to sign in again. It does not read your timeline, followers, likes or direct messages. It keeps your X user id, username, name and profile picture link. X's access lasts two hours, and Postfjord renews it by itself. Press Disconnect and Postfjord deletes the access and what it kept about the account.
If you remove the X add-on, X keeps working until the end of the month you paid for. After that the X account stays under Channels, but posts to it stop until you add the add-on again.
What Postfjord can do
Publish posts, read the results, read comments to place a first comment, and read insights for the analytics screen. Postfjord never reads your personal profile, your friends or your private messages beyond what the inbox features need.
One account, one workspace
An Instagram, Facebook, Threads or LinkedIn account can be connected in one workspace at a time. When you connect an account that is already in another workspace, Postfjord marks it in the list and does not tick it for you. If you tick it, you are asked first, and then it moves here: the other workspace shows it as Moved and can no longer post or chat with it. Its automations, chat menu, conversations and contacts stay in the other workspace. An X account follows the same rule. It can only move to a workspace that has the X add-on.
To work on the same account with someone else, invite them to the workspace under Settings, Members instead of connecting it twice.
Reconnect needed
A channel shows Reconnect needed when Meta stopped accepting its access, with a one-line explanation in plain words (hover it to see Meta's original message). Common causes: your role on the Page changed, the Page was moved to another business portfolio, or the Page was not ticked in the Facebook dialog. Press Reconnect, tick all Pages, and pick the account again.
Messages not reaching Postfjord
Meta only sends a Page's DMs and comments to Postfjord when the Page is subscribed to Postfjord. Postfjord subscribes the Page every time you connect or reconnect, and an Instagram account shares the subscription of its Facebook Page. When Meta refuses, publishing still works but the inbox and automations stay quiet, so the account shows Messages and comments from this account are not reaching Postfjord under its name. Hover it to see Meta's reason.
Press Reconnect and pick the account again: that subscribes the Page once more. Accounts connected before this check existed are checked once during the night, and failed ones are checked again every night, so a warning can also appear or clear by itself the next morning.
Postfjord cannot post here
This line shows under an account that was connected with the box for posting unticked in the platform's window. Messages and comments can still work, but Postfjord does not send posts to it. A post scheduled to it stops and says Posting is off for this channel, and the account keeps this line. Press Reconnect on the card and leave every box ticked, then press Retry on the post. The line goes away as soon as the platform says posting is allowed. If messages and comments are not arriving either, that line shows under it too, and the same Reconnect fixes both. The notice at the top of the screens and the dashboard show it too, but no email is sent, since the connect window already said it.
When a channel needs a Reconnect
Postfjord tells you in three places when a channel stops working, whether it needs a Reconnect or its messages are not arriving:
- A notice at the top of every screen and a number next to Channels in the menu, for owners and editors.
- A line under Needs attention on the dashboard.
- One email to the workspace's owners and editors, listing the accounts and what is wrong. It is sent once per problem, not every night, and at most once a day for the same account. Turn it off under Account with Publishing problems.
A connection that runs out on a set date, like LinkedIn's, shows up in the same places a week ahead, while it still works. Its email comes once per connection, a week before the date. After a Reconnect the countdown starts over.
Chat settings
Open them with Chat menu next to an Instagram account or Facebook Page under Channels, or at the bottom of Automation, where every connected account is listed.
Editors see a Settings button (the gear on the row) on every active Instagram or Facebook account; an account that needs a Reconnect gets it back once it is connected again. It opens the account's chat settings: what Meta shows a person before the first message, and what happens when nothing else answers. When the panel opens, Postfjord reads what Meta currently has for the account and shows it above the form.
- Conversation starters. Up to four questions shown to people who open a chat with you for the first time. Each one starts an automation of your choice (any automation except a comment automation, which needs a comment to begin). Conversation starters are also what lets an ig.me link start an automation for someone who never wrote to you.
- Menu. The hamburger menu in the chat: up to ten items on Messenger and five on Instagram, each with a title of at most 30 characters that starts an automation or opens a link.
- Get Started and greeting. Facebook only. New Messenger contacts must press Get Started before any automation, including m.me links, can run. The greeting is shown above the button, 160 characters at most.
Save to Meta writes the three sections to the account in one go and shows Synced with the time. Meta allows ten profile changes per ten minutes per Page, so Postfjord accepts one save per account per minute. When Meta refuses, the panel shows the reason in plain words. Until Meta's app review has granted the messaging permission for an account, the panel says so and the sections cannot be saved; the feature switches on by itself once the permission is granted, after you press Reconnect so it reaches the account.
- Default reply. Sent once per person per day when no other automation matched. Press Create default reply to create one for the account with a sensible text, then edit it in the wizard: the text, buttons, and the hours it applies to (for example 22:00 to 07:00 to answer at night). The panel shows the automation's name, whether it is on, and its hours. See Automation for how it behaves.
- Growth links. The account's base link (
ig.me/m/yourhandleorm.me/pageid) and every link automation on the account, each with its full link, a Copy button and a QR code to download. New link automation opens the wizard. An Instagram account with no username stored asks for a Reconnect first.
Disconnect
Disconnecting a channel removes its access token from Postfjord. Scheduled posts for that channel will fail until it is connected again.
FAQ
Why does Facebook ask for my personal account?
Meta only issues Page access through a person who manages the Page. Postfjord stores an access token for the Page, not for you, and uses it only for the workspace you connected it in.
Can the same Page be in two workspaces?
Yes, connect it in both. Posts and inbox messages then show up in each.
Why does a channel say messages are not reaching Postfjord?
Meta refused to subscribe the Page to Postfjord when it was connected, so no DMs or comments arrive from it. Press Reconnect under Channels, choose all Pages in the Facebook dialog and pick the account again. If the warning stays, check in Meta Business Suite that you have full control of the Page, then reconnect once more.
Why does my account show the Instagram logo instead of its picture?
Instagram gives out a link to your profile picture that stops working after a while. Postfjord gets a new link every night. Until then, it shows the Instagram logo in place of a broken image. If you changed your picture, the new one shows up the next morning.
Why does the automation not react when someone replies or taps a button in a DM?
Instagram only passes messages on to connected tools when the account allows it. In the Instagram app, open your profile, then Settings and privacy, Messages and story replies, Message controls, and turn on Allow access to messages under Connected tools. Comments work without it, so a public reply and the first DM can arrive while taps and replies never reach Postfjord. Other messaging tools need the same setting.
Why do conversation starters not show up?
Meta shows them only to people who have no earlier conversation with the account, so you will not see them in your own chat if you have written to the account before. They also need the messaging permission from Meta's app review; until then the panel shows a notice and nothing is saved. Check that the panel says Synced and try from an account that never messaged you.
Why do I have to reconnect LinkedIn every 60 days?
LinkedIn gives apps like Postfjord access for 60 days at a time, and only the owner of the profile can renew it. Postfjord emails the owners, the editors and the person who connected the profile a week before the date and shows a notice in the app. That person presses Reconnect and signs in to their own LinkedIn account.
