Your account

Give your client a portal

A link your client opens without an account. They see the posts coming up, what went out and how it did, this month's followers, bookings and sales, and the monthly reports.

When you run social media for a client, they want to see what is planned and how it is going. A client portal is one page for that. Your client opens a link, with no account and no password, on a phone or a computer. They can look, not change anything.

What your client sees

Your workspace's name and the logo from the brand kit. When the workspace shows your agency to the client (see Agency branding), the top of the page also says Prepared by with your agency's name and logo, as the review page does. Then:

  • Coming up: every scheduled post for the next 60 days, up to 40, with the pictures and the text. A small calendar shows which days have posts; tap a day to jump to it. A post held until your client approves it shows the time it was planned for and says why it waits: Waiting for your approval when the answer is theirs to give, that your team is changing it when they asked for changes, or that it is on hold with your team when their review link was closed or ran out. It does not go out at that time.
  • Published lately: the last 10 posts that went out through Postfjord, with a link to each post and the likes, comments and reach Postfjord read for it. A held post that went out on some channels says so, and what the rest waits for.
  • This month: followers and new followers, likes and comments and the engagement rate for the last 30 days, posts published this month, and bookings and sales when a booking system, Stripe or Shopify is connected. The automations that brought in bookings or sales are listed with their numbers.
  • Monthly reports: the PDF reports already made for this workspace, newest first, to download.
  • Waiting for your review: review links that still have posts without an answer, with the date each was sent. A held post that went out on some channels counts too, since your client can still approve it. The posts counted here are the ones marked Waiting for your approval. The answers themselves happen on the review link (see Send posts to a client for review).

Drafts, failed posts and anything about people stay out. The page never shows your contacts, DMs, comments, email lists or who booked or bought.

The numbers are a few minutes old at most. Likes, comments and reach for a single post come from the platforms once a day, for Instagram and Facebook. A post on another platform shows its link only.

  1. Open Settings and press Client portal.
  2. Write who the link is for, for example "Anna at Studio North". Your client does not see this name.
  3. Pick how long it works: 7 days, 30 days, 90 days or a year.
  4. Press Make the link, then Copy, and send it to your client in an email or a chat.

Only owners make and turn off links. Each link shows when it stops working and when it was last opened. Free keeps 2 links working at once, Solo 5, Studio 10 and Agency 25.

If you move to a plan that keeps fewer links working, the oldest links keep working and the newest stop. Your client sees "This link does not work" on a stopped link. In Settings, Client portal, a stopped link says so, and the list tells you how many stopped.

Turn off the links you no longer need. The stopped ones then work again right away, oldest first. Moving back to a bigger plan brings them back too.

Press Turn off next to the link. The page and its report downloads stop working right away. Make a new link when your client needs one again. A link also stops by itself when the time you picked is up.

Anyone who has the link can open the page, so send it to your client only. If it reached someone it should not, turn it off and send your client a new one.

Monthly reports in the portal

The portal lists the reports that were already made: in Analytics with PDF report, or by the monthly report email (see Monthly report). It does not make new ones. A report made while the month was still running says "(so far)". Reports go back as far as your plan's analytics history.

FAQ

Does my client need a Postfjord account?

No. The link is all they need.

Can my client change or approve posts in the portal?

No, the portal is for looking. To have your client approve posts, send them a review link from Calendar. The portal then shows how many posts wait for their answer.

What happens when the workspace is suspended?

The link shows "This link does not work" until the workspace is active again. Nothing about the workspace shows on that page.

What happens to the links when someone leaves the team?

They keep working. The links are for your client, not for your team. If you want a link that person saw to stop, turn it off and send your client a new one.

Can I have a different link for each person at my client?

Yes. Make one link for each person, so you can turn off one without stopping the others.
