Workspace templates and copies

Start a new client's workspace as a copy of one you run, or from a template you saved, with the voice, automations and emails in place and everything switched off.

Running social media for several businesses means setting up the same things again for each one: the voice rules, a comment to DM automation, a welcome email, saved replies. Copy them from a workspace you already run, or save them once as a template and start each new client from it.

A copy holds the setup, never the business. The new client connects their own accounts and adds their own logo, colors and contacts.

Start a new workspace from a copy

  1. Open the switcher at the top left and add a workspace.
  2. Press Copy a workspace or use a template under the steps.
  3. Under Start from, pick a workspace you own or one of your templates.
  4. Type the new client's name and pick their time zone.
  5. Tick what to copy under What to copy, then press Create workspace.

You can also go to Settings, General, Templates and copies in the workspace you want to copy and press New workspace from this one.

When it is done, Postfjord lists what came over. Press Open to go to the new workspace.

The new workspace counts toward your plan like any other. A plan with room for one workspace has no room for a copy. Only an owner can copy a workspace or save it as a template.

What comes along

  • Brand voice: the tone, the do and do not lists, the pillars, hashtag sets, call to action, example posts, standing instructions, the language and the kind of business. Not the logo, colors, fonts, business name, website, description or what you call Bo.
  • Strategy: the goal, audience, pillars and rhythm. The numbers per account are left out, and Sunday drafts start switched off.
  • DM automations: switched off, on no account and listening on no post. Pick the account and the posts in each one before you turn it on. A link in a message keeps its address and gets a new short link when you save the automation. A link to a signup form or to the old client's website is cleared, and so is an email address. A Shopify product card is left out.
  • Email automations: as drafts, with their emails. Your own pictures are left out, so add the new client's. A signup form's welcome email stays behind, since forms are not copied. The emails show up once email is on for the new workspace.
  • Email templates and sections: your saved email templates and saved sections, without your own pictures. A post block keeps its place but not the old client's post, a product block keeps its place but not their products, and a social block shows the new workspace's own social links.
  • Design templates: the templates you saved in the design editor. Template photos from Postfjord stay. Your own pictures and logo are left out.
  • Flow drafts: Flows you are still building. Their posts come as text, on no account and with no time. The DM automation is switched off and the emails are drafts. The landing page step is left out, since the page lives on the old address: add a landing page step again in the new workspace. Flows that are live or done stay behind. Flow drafts need a paid plan in the new workspace.
  • Saved replies: the answers you insert in the Inbox.
  • Tags, contact fields and saved filters: their names, colors and folders, never the contacts that have them. A saved filter loses its search words, since they find people by name or email address, and a filter with nothing else in it stays behind. Automations need their tags, so tags always come along with them.

What never comes along

Connected accounts and their logins, contacts, conversations, comments, numbers and reports, photos and videos in Media, members and invitations, API keys and connected AI apps, billing, signup forms, landing pages, email settings and sending domains. Email itself stays off too, even when it was on in the old workspace: see the FAQ below.

Nothing that tells who the old client or their people are comes along. Links to the old workspace's own pages on postfjord.page and to the website in its brand profile are cleared, wherever they are and whether or not they start with https://, so a new client's customers never land on another client's page. Email addresses are cleared from every part, except Postfjord's own. Add the new client's own address and links where they belong.

Links to signup forms and short links go the same way, wherever they are: in a DM, a button or the words of an email, a design, a saved reply, a post or the brand voice. A signup form belongs to the workspace that made it, so anyone who signed up through the old link would become a contact of the old client. Make the new client's own signup form under Email, Campaigns, Email settings and add its link where the old one was.

Before you turn things on

Everything arrives switched off or as a draft, so the copy sends nothing on its own. Go through each part first:

  1. Connect the new client's accounts under Channels.
  2. Add their logo, colors and fonts under Settings, Brand kit, and read the brand voice through.
  3. Make the new client's signup forms. Then open each DM automation, pick the account and the posts, check every link, add the new form's link where a form link was cleared and press Save. Then switch it on.
  4. Add pictures to the emails, check the words and start the email automations.

Save a workspace as a template

  1. Go to Settings, General, Templates and copies in the workspace.
  2. Under Save as a template, type a name, like Yoga studio setup.
  3. Tick the parts to keep and press Save template.

A template is a saved copy of the setup as it is at that moment. Changes you make to the workspace later do not change the template: save a new one instead.

A template belongs to your account, not to the workspace. It stays when the workspace is deleted, and you see your templates in every workspace you own. Nobody else can see or use them. When you delete your account, your templates are deleted with it.

A template holds no personal data: no contacts, no email addresses and no links to the old client's pages, forms or website. It does not even keep the old workspace's name: Your templates shows where a template came from only while that workspace is still there.

Some lists are long. When a part has more than a template keeps, or an item is too big to keep, Postfjord says which parts were cut right after you save.

Your plan decides how many templates you keep: Free 1, Solo 3, Studio 10 and Agency 25. On Enterprise we can agree on another number with you. Delete one under Your templates to make room.

FAQ

Does a copy post or send anything by itself?

No. Automations are switched off, emails are drafts, posts are drafts on no account and Sunday drafts are off. Nothing goes out until you turn it on in the new workspace.

Can I copy a workspace I am an editor in?

No. Only an owner can copy a workspace or save it as a template, since the copy takes its automations and emails.

Why are the pictures missing from my emails?

Photos and videos stay in the workspace they were uploaded to, and are not copied. Add the new client's own pictures to each email.

Why was a Flow left out of the copy?

Only Flows that are still drafts come along, and only when the new workspace is on a paid plan. A Flow that is live, closed or done stays where it is.

Why is a signup link missing from my automation or email?

A link to a signup form, or a short link of Postfjord, would send people to the workspace the form belongs to, so the copy clears it. Make a form in the new workspace and put its link back in. A template saved earlier is cleaned the same way when you start a workspace from it.

Why is email off in my copy when it was on in the old workspace?

Postfjord switches email on by hand for each business after a short check of who sends it. A copy is a new business we have not looked at yet, so email starts off there, even on a paid plan, and the copy says so. Write to hello [at] postfjord.com to ask for it. Until then the email automations and templates wait as drafts.

Why is a link or an email address missing from my copy?

Links to the old client's website and pages, and email addresses, would tell the new client's customers about another business, or send them there. The copy clears them, so add the new client's own.

Can I copy a suspended workspace?

No. A suspended workspace cannot be copied or saved as a template, and a template saved from it cannot be used while the suspension lasts. Deleting the suspended workspace does not change that: its templates stay unusable.

Can I use a template on a plan with one workspace?

Yes. Free and Solo keep one workspace, so there is room for a new one only when the old one is gone. Your templates stay when you delete it. Then press Copy a workspace or use a template when you make the new workspace, and pick the template. With more workspaces on your plan you can start from a template at any time.
