Import posts from a spreadsheet

Plan up to 200 posts in a spreadsheet, save it as CSV and import it from the calendar. Every row is checked before anything is made, and you can fix or skip a row on the spot.

Some people plan a month of posts in a spreadsheet. You can bring that sheet into Postfjord in one go. One row in the file is one post.

Import a file

  1. Open the Calendar and press Import.
  2. Press Download the template if you want a file to start from. It already has your own channel names in it.
  3. Fill in your rows and save the sheet as a CSV file (see below).
  4. Press Choose a CSV file and pick it.
  5. Choose Schedule them or Save them as drafts.
  6. Look at each row. A row with a problem says what is wrong. Press Fix to change it right there, or tick Skip this row.
  7. Press Schedule (or Save drafts). Keep the page open until it says Done.

One file can have up to 200 rows. Have more? Split them into two files.

The columns

The first row of the file names the columns. The order does not matter.

  • date: the day, like 2026-10-05. Dates with slashes work too. A date like 10/5/2026 could be May or October, so Postfjord looks at the whole file: a date like 10/25/2026 means month first, 25/10/2026 means day first. When nothing in the file decides it, a workspace in the Americas reads month first (the way US Excel and Google Sheets save dates) and every other workspace reads day first. The import page shows the choice, and you can change it.
  • time: like 09:30, 17:30 or 9:30 PM. Times are read in your workspace's time zone, which the import page shows.
  • channels: where the post goes. Write the channel's name, its handle (with or without the @), or the platform (Instagram) when you have one channel of it. Put several in one cell with a | between them: Instagram | LinkedIn. The import page lists your channels the way you can write them.
  • text: the post itself. Each channel's length limit is checked, so a 300 character text is flagged for X.
  • media_url (you can leave it out): the web address of one picture or video, starting with https://. Postfjord copies the file into your media library, like an upload.
  • first_comment (you can leave it out): a first comment for Instagram. Other channels leave it out.

Instagram, TikTok and YouTube only post with a picture or video. A row for one of them without a media_url is flagged before you schedule. As a draft it can wait without one, and you add the file in the composer.

Only channels and text (or media_url) must be there. With Save them as drafts, a row can also leave the date and time empty.

Other column names work too, like Caption, Account or Platform. When two columns could be the same thing, the exact name wins: in a sheet with Day and Date, the date is read from Date, and with Post and Caption the text is read from Caption.

What happens to each row

  • Scheduled: the post is in the queue and goes out at its time.
  • Draft: the post was saved with its date, and waits on its day in the calendar. Open it and press Schedule when you are ready. A row becomes a draft when you chose drafts, when its picture or video was still loading, when a channel needs one more choice from you, or when your plan's posts for that month are used up.
  • Skipped: nothing was made. The row says why, for example that the picture could not be downloaded. Press Fix, change the row, and press Try the missing rows again. When something went wrong on our side, the row says so and you can press Try the missing rows again without changing it.
  • Already made: this row was made before. If you press the button again after a dropped connection, nothing is made twice.

The address must be public and start with https://. Postfjord downloads the file and keeps it in your media library, so it counts toward your plan's storage like any upload. JPEG, PNG, WebP, GIF, MP4, MOV and PDF files work. A link to a page (a Google Drive or Dropbox share page) is not the file itself: use the direct download link.

If a file cannot be downloaded or is too big for the storage you have left, that row is skipped and says why. The other rows still go ahead. Rows sent together with the same address share one copy of the file.

Save a sheet as CSV

Postfjord reads CSV files. Every spreadsheet app can save one.

  • Google Sheets: File, Download, Comma separated values (.csv).
  • Excel: File, Save As (or Save a Copy), and pick CSV UTF-8 as the file type.
  • Numbers: File, Export To, CSV.

Use CSV UTF-8 in Excel when your text has letters like é or emoji, so they come through right.

Your plan

Every plan can import. The monthly post limit still counts: on Free, rows past that month's limit are saved as drafts, so you can choose which ones to schedule. Run one import at a time: two at once can both see room left, and then a post past the limit fails at its time with a "Monthly limit reached" message instead of going out. Pictures and videos count toward your storage.

FAQ

Can I import an Excel file?

Save it as CSV first. In Excel, use File, Save As and pick CSV UTF-8.

Which time zone are the times in?

Your workspace's time zone. The import page shows it above the file button.

Can I import posts for Instagram and LinkedIn in the same row?

Yes. Write both in the channels cell with a | between them, like Instagram | LinkedIn.

What if I import the same file twice?

Each import makes new posts. Pressing the button again in the same import does not: rows that are already made are left alone.

My import stopped halfway. How do I finish it?

Choose the same file again on the same device. The import page says you started an import of that file before. Press Continue that import: the rows made the first time are not made again, and the rest are.
