Composer

Write once, adapt per channel, preview and schedule. Every field and button in the composer, what it does and what happens if you leave it. Attach a DM automation before you publish, and let Claude draft from a brief when you want it to.

Postfjord AI composer: a short brief about a free sunrise class beside the draft written in the brand voice, tagged Warm and Short.

The composer is where a post is written. One text, optional versions per channel, media, and a time. Open it with New post, with + next to a day in Calendar, or by clicking a post you already have.

Your first post, step by step

  1. Under Channels, click the accounts the post should go to. A picked account turns the colour of its platform. Click it again to take it off.
  2. Under Media, press Choose media and click the images or video you want. Press Use 1 selected (the number is how many you picked). Instagram needs at least one image or video.
  3. Write the post in Text on the Base text tab. Or write a short brief in Brief for the AI and press Generate draft.
  4. Look at Preview on the right. Each account has a card. A red line on a card means something must change before the post can go out.
  5. Want something different on one account, like hashtags on Instagram? Click that account's tab next to Base text.
  6. Pick a date and time in Publish at.
  7. Press Schedule. The post waits in Posts under Scheduled and goes out at that time. Or press Publish now to send it right away.

You can stop at any step. The post is saved as a draft while you type, and you find it again in Posts under Drafts.

When the draft is already saved, Schedule opens the calendar at once and schedules the post on the way. If that fails, a note at the bottom of the screen says so, the post stays a draft, and Open post takes you back to it.

What happens after you press Schedule
  1. You press Schedule: The post waits in Posts, under Scheduled
  2. The time comes: Postfjord looks for posts that are due every minute
  3. Sent to each account: Each account gets its own copy, with its own text and format
  4. Published: Posts shows a link to the live post on each account

If an account fails, Postfjord tries again by itself a few times before it asks you. See Posts.

Channels

The row of accounts at the top. Click one to add it to the post and click it again to take it off. Every account you pick gets its own tab, preview and settings.

  • If you pick none: you can still write and save a draft, but Schedule, Publish now and Generate draft need at least one account.
  • No accounts at all? The composer says so and links to Channels, where you connect them.
  • Already posted on an account? Its button stays on, looks faded and cannot be clicked, and a line under the accounts says why. The same goes for an account the post is going out on right now. You cannot take it off the post, because the post went out there, or is about to. To post the same thing again, use Duplicate in Posts.

Media

Press Choose media to open your media library. Click the files you want. Each one gets a number, and the numbers are the order they go out in, so the image marked 1 is the first one people see. Press Use 1 selected (or Use 3 selected, and so on) to add them. Cancel closes the library without changing anything.

The library has two tabs: Uploads for the files you added and Designs for what you made in the design editor. Under Designs each design is one tile with its name and how many pages it has. Tap it and all its pages go in, in order, as a carousel. A line under the tabs says what was added. Tap it again to take them all out. Want only one page? Press Pick single pages and tap the pages you want. Show whole designs takes you back. My designs, under Media in the post and next to Free photos in the library, opens straight on Designs.

In the same window you can:

  • Upload a new file from your computer or phone. It is picked for the post as soon as it is up.
  • Press Create image to make a post graphic in the design editor.
  • Press Add text to the last selected image to put text on the image you clicked last.

The small red cross on a picture under Media takes it off this post. The file stays in your library.

What the media does to each account:

  • Several images become a carousel on Instagram and Threads, and a post with several photos on Facebook. On Instagram and Threads Postfjord switches the format for you when you add the second image.
  • One video goes out as a Reel on Instagram.
  • Images and a video together cannot go in a Post. The preview says so.
  • Instagram needs at least one image or video. A post with text only cannot go to Instagram.
  • One PDF becomes a document post on LinkedIn, the carousel people swipe through page by page. Only LinkedIn takes a PDF. See PDF carousels on LinkedIn.

Each channel shows your pictures in the shape they go out in. To change that shape, or which part of a photo shows, use Fit in the channel's tab. See Media library for sizes and file types.

Fit: how your picture looks on each channel

Open a channel's tab, next to Base text. Under the text you find Fit. It shows your picture in that channel's frame, exactly as it will be sent.

  1. Pick a shape. Auto is the default. Each network has its own list, like Square 1:1, Portrait 4:5 or Original, which keeps the photo as it is.
  2. Pick Crop or Show whole image.
  3. With Crop, drag the picture to choose what shows. On a phone, drag with one finger. Move the Zoom slider to zoom in, up to 4x.
  4. Reset puts the picture back to the automatic crop.

With Show whole image nothing is cut. The empty space around the photo gets a soft blurred copy of it.

A post with several pictures shows a small row of them above the frame. Tap one to fit it. Each picture can be cropped its own way. On an Instagram carousel every picture gets the same shape, because Instagram wants that.

What Auto does:

  • Instagram feed posts keep the photo's own shape between tall 4:5 and wide 1.91:1. A taller or wider photo gets the nearest of the two.
  • Instagram stories are tall 9:16. A tall photo fills the story. A wider one is shown whole on a blurred background.
  • Other networks keep the photo's own shape, unless it is too tall or too wide for them.

Until you drag, Postfjord picks the part of the photo that catches the eye, so a face or a product stays in the picture. Under the frame you see the size the file is sent in.

The preview on the right uses the same frame. Your choice is saved with the draft. On a scheduled post it is saved as soon as you let go. A channel that already got the post keeps its picture.

Posts you made before Fit came out keep their old shape until you change something under Fit.

Once a post is out, Postfjord deletes the shaped copies it made. The networks keep their own copy, and your photo stays in Media.

If Postfjord cannot read a photo well enough to shape it, that channel sends the photo the way it did before Fit, so the post still goes out.

Make it a reel

A post with pictures can become a short tall video for Instagram Reels and Stories, TikTok. You find Make it a reel under Media.

  1. Press Make it a reel.
  2. Pick Reel or Story.
  3. If you want words on the video, tick Add text on the video. Postfjord fills in the first sentence of your post. Change it if you like. Short is best.
  4. Press Make the video.

The video takes about a minute. A bar shows how far it has come, and you can keep working on your post meanwhile. When it is ready, press Open the new draft.

What you get:

  • A tall video, 1080 by 1920, the size of a phone screen. One picture makes 6 seconds. More pictures make about 3 seconds each, up to 30 seconds and 10 pictures.
  • Each picture moves slowly and fades into the next. It moves toward the part you chose under Fit. A picture you set to Show whole image stays whole, with a soft blurred copy around it.
  • Your text in the font and colors of your brand kit, in a box above where the apps put their own buttons.
  • No music in the video itself. On Instagram you can add a song to the Reel draft with Add music (Music on a Reel).

The video goes in your media library and on a new draft, with the text and link of your post. A Reel draft goes to the channels on this post that show short videos: Instagram, Facebook, TikTok. If the post has none of them, it goes to all of those you have. A Story draft goes to Instagram.

Nothing is posted by itself. Open the draft, look at the video and schedule it like any post. Your first post stays as it was.

Each plan makes a few videos a day: Free 2, Solo 10, Studio 25, Agency 50. A video that could not be made does not count. One exception: a video that stopped part way after Postfjord had started on it counts, since its pictures were already worked on. It shows as failed with "The video took too long", at the latest within the hour. Try again with fewer pictures.

Make a story or a reel from a post you already have

A post you made before can become a story or a reel too, even one that went out last week.

  1. Open Posts, or open the post itself.
  2. Press Make a story or Make a reel. In the list of posts they are the small phone and film buttons next to Duplicate.
  3. A new draft opens. Look at it and schedule it like any post.
  • Make a story with one picture puts that picture on an Instagram story draft, 1080 by 1920. It is ready at once and is not a video, so it is as sharp as your photo and does not count as one of the day's videos. The part of the photo you chose under Fit is kept. A post with more pictures gets a short story video instead.
  • Make a reel makes the same video as Make it a reel, with no text on it, on a new reel draft.

Your first post never changes, and nothing is scheduled by itself. A post without pictures cannot do this: the buttons are grey and say why. The new draft takes the post as it was last saved.

Brief for the AI and Generate draft

If you turned on Write it myself on the Ideas page, the brief, Rewrite, Shorter, Hashtags, Check post and Check in-feed are hidden, and the composer is a plain place to finish your own words. Where Bo's brief would be, one line says "Bo is off because Write it myself is on." Press Turn Bo on next to it to turn Write it myself off, and Bo and the AI buttons come back right away. You can also turn it off under Settings on the Ideas page. A draft made from an idea you wrote with Write it myself on says "Bo is off for this post." and stays without Bo.

Pick your accounts first. Then write a short brief ("Yin yoga Thursday 7 pm with Anna, last two spots, beginners welcome") and press Generate draft. On a computer, Cmd+Enter or Ctrl+Enter does the same.

Claude writes:

  • the Text on the Base text tab,
  • a version for each account you picked, when that account needs something different,
  • hashtags per account, and a first comment for Instagram when it fits.

Claude writes in your brand voice from Settings, Brand voice. Fill that in first and the drafts sound more like you.

What to know:

  • Generate draft replaces what is in Text and in the accounts' own text. Press it before you start writing, or copy your own words into the brief.
  • Nothing is published or scheduled. You read it, change what you like, and press Schedule yourself.
  • Next to the button you see why Claude wrote it that way and what it cost. Each draft costs a few cents from the workspace AI budget.
  • The button is grey until at least one account is picked.

Dictate the brief

Would you rather say it than type it? Press Dictate next to Generate draft, talk for up to three minutes and press Stop and transcribe. What you said lands in the brief as text, without the "um" and "like", so you can fix a name or a time before you press Generate draft. The recording stops by itself at three minutes. Postfjord measures the sound itself, so a recording longer than three minutes is turned down, and a dictation costs what it is long. The first time, the browser or phone asks for access to the microphone.

While you record, a small sound wave next to the timer moves when you talk, so you can see that the microphone hears you.

If you correct yourself, dictation keeps what you meant: "at 2, no, 3" comes out as "at 3". Number things aloud, "number one, number two" or "för det första, för det andra", and they come out as a list. Say "new line" or "question mark" and you get the line break or the mark. This works in English and Swedish.

Names that dictation spells wrong, like your studio, your teachers or your products, go under Brand voice, Words for dictation. Write them once, one per line or with commas, and dictation spells them that way from then on.

Nothing you say gets lost. Your browser keeps the recording until its text is in. If the connection drops or the text does not come through, Try again shows up next to Dictate, also after you reload the page, and writes it out when you press it. The clock button next to Dictate lists your last ten dictations: press one to add it again.

Live text is in testing: in workspaces where it is on, your words show up in the brief while you talk, a moment after each short pause, so you can see that it hears you. That text is rough. When you press Stop and transcribe, the clean text takes its place. If you type in the box while you talk, your words show in a grey box at the top of the screen instead. If no words show up, dictation still works: the text comes in when you stop.

OpenAI turns the recording into text. We never store the recording on our servers: only your own browser keeps it, until its text is in or for at most 14 days. OpenAI does not use it to train its models. A dictation of three minutes costs about two cents from the workspace AI budget. After 20 dictations in an hour, or 60 in a day, live text takes a break. Dictation itself keeps working. If the workspace uses ChatGPT as its own AI provider (Settings, AI), dictation runs on that key instead.

Text and the Base text tab

Text is the post. Every account uses it unless you give that account its own text in its tab. The number under the box counts characters. When several accounts are picked, it shows the lowest limit among them, for example 500 when Threads is one of them. The number turns red when the text is too long. An account with its own text does not count here, since it never posts Text. When every account has its own text, the box shows no limit and says that Text is only a fallback.

More options

The things most posts do not need are folded under More options, below the text and above Publish at. Press More options to open or close it. Inside:

  • More in each channel's tab: a line that lists what each account's tab holds, like format, title or first comment. Click an account there to open its tab.
  • Link (optional) and Link in bio for this post.
  • Page for this video, when the post has a video for Instagram, TikTok or YouTube.
  • This post, with Gives and Asks, and Pillar when you have a strategy.
  • DM automation for this post, when an Instagram or Facebook account is picked.

When More options is closed, its header shows a small tag for each thing you set in it, like DM: Guide, Asks or Link: yourstudio.com. So nothing is set without you seeing it. When something in there needs a look, like a link in bio that cannot be used, the section opens by itself and the header says Needs a look. Pressing Set up a DM keyword in the in-feed check opens it too.

Link (optional) is one web address for the whole post. What happens to it depends on the account:

  • Facebook: a text post shows it as a link preview. A photo post gets it under the text. A video post leaves it out.
  • LinkedIn: it goes at the end of the text.
  • Threads: a post with only text shows it as a link preview. A post with images or a video leaves it out, so write the link in the text there.
  • X: it goes at the end of the text and counts as 23 characters.
  • Pinterest: a tap on the pin opens it.
  • Instagram and TikTok: links in a post do not work there, so the post cannot be scheduled or published while Link has something in it.

Posting to Instagram and Facebook with a link? Leave Link empty, open the Facebook tab and put the link in Text for this channel. Instagram then posts without it.

Link in bio for this post

Instagram has no links in posts. Link in bio for this post gives the post a link on your link in bio page instead: when someone taps the post in Latest posts there, they go to your product, booking or article.

  1. Open More options and type the address in Link in bio for this post, like https://yourstudio.com/classes. Use the post link fills in the post's own link.
  2. Schedule or publish the post as usual.
  3. Your page shows the post with the link, usually within minutes of the post going out and at the latest overnight.

The link is never added to the post itself, and it goes to no network. You can change it after the post is out: type the new address and press Save link. The page usually shows it within minutes, at the latest overnight. Everything else in a published post stays as it went out.

Put a Shopify product on your link in bio

When you add a product with Shopify product to a post for Instagram, a note under Link says that people cannot tap a link in an Instagram caption. Press Add to my link in bio. The product goes into the Products block of your link in bio page, or into a new Products block near the top. Publish the page to show it (Sell your Shopify products).

Before a tile opens the link, Postfjord checks it the way it checks every link on a page: it follows the address and asks Google Web Risk about it. Checked under the field means it passed. A link that does not pass is left off the tile, which then opens the post where it was posted. If the check could not run, the tile opens the post for now, and we check again the next time your page updates, at the latest overnight. The field shows once one of your live pages has a Latest posts block.

Check a post before it goes out

Under the text, press Check post. In a few seconds you see four short notes: whether the text sounds like your brand profile, whether the first line makes people read on, whether there is a clear next step such as booking or a link, and whether the post may promise a health or money result that could be read as misleading. Green is fine, yellow is worth a look, red needs a change.

The check is advice only and never stops you from saving or scheduling. It reads the post text and your brand profile, and removes @handles, email addresses and phone numbers before the check. Write a variant on a channel tab and you can check that version on its own. If you change the text afterwards, the notes fade until you check again. A check costs a fraction of a cent from the workspace AI budget.

Can AI tools quote it?

People now ask ChatGPT, Claude, Gemini and Perplexity for tips and places to go, and those tools quote posts that are easy to quote. The same check, in the same step, also looks at four things:

  1. Answer first: the first lines say the main point.
  2. Facts: there is a number, a name, a price, a time or a result.
  3. Easy to skim: short parts or a list, not one long block.
  4. Date or place: when the post is about an event, an offer or a place, it says when and where. Posts where this does not matter skip it.

Under the notes, Bo gives one tip for the change that helps most.

When the post goes to fewer than four places, and you have more channels it could go to, a line under the check says so, since AI tools name a brand more often when it shows up in four places. Press Make this idea for more places to open One idea to every format with your text, and pick more channels, an email or a page there. Nothing is posted until you schedule it.

Check in-feed, and give or ask

Most people never click the link in a post. Press Check in-feed under the text to see if the point is in the post or behind the link, and if the post gives something or asks for something. When it helps, the check offers to write the point into the post, to move the link to the first comment on Instagram, or to set up a DM keyword.

Under More options, This post has two buttons, Gives and Asks, to mark the post yourself. A label the check set shows as a tag on More options while it is closed. The calendar counts them for the week. See In-feed check and give or ask.

A tab for each account

Every account you pick gets a tab next to Base text, with its logo and name. A red ! after the name means something on that account must change before the post can go out. Open the tab and the reason is listed in red at the bottom.

Text for this channel

Leave it empty and the account uses Text from the Base text tab. Write something here and this account posts that instead.

Once an account has its own text, changes you make to Text no longer reach it. Empty the box and it follows Text again. The counter under the box shows this account's limit, hashtags included.

Rewrite, Shorter and Hashtags

Three buttons at the top of each tab ask Claude for help with this account only:

  • Rewrite writes this account's text again in your brand voice, fitted to the platform.
  • Shorter makes it shorter.
  • Hashtags suggests hashtags for the text and puts them in the Hashtags field, in place of the ones there.

Each one replaces what is in Text for this channel. The Base text stays as it is.

Hashtags

Type hashtags with a space or a comma between them. The # is optional. They are saved when you click out of the field, and they go out on a new line under the text. The label shows how many you have and the most the platform takes: 30 on Instagram and Facebook, 5 on LinkedIn, 1 on Threads, 3 on X, 10 on TikTok, 5 on Pinterest.

Leave it empty and the post goes out without hashtags, unless you wrote some in the text.

Format

What kind of post it becomes on this account:

  • Instagram: Post, Carousel (2 to 10 images or videos), Reel (one video) or Story. A story shows only the first image or video, and Postfjord sends no text with it.
  • Facebook: Post or Video.
  • Threads: Post, Carousel (2 to 20) or Video.
  • LinkedIn: Post, Carousel (2 to 20 images), Video or Document (one PDF).

Leave it and Postfjord picks for you from the media: Post for one image, and on Instagram and Threads Carousel when you add more images. On X the media decides, and the list is grey. On Pinterest the media decides, and the list is grey.

Media for this channel

Each account's tab has Use different media for this channel. Press it, pick files, and press Use 1 selected. That account then gets those files, and every other account keeps the post's media. Use the post's media takes it back.

PDF carousels on LinkedIn

On LinkedIn a PDF shows as a carousel: each page is a slide people swipe through. It often reaches more people than a post with several images.

  1. Upload the PDF under Media, or in Choose media. It can be up to 100 MB and 300 pages.
  2. On the LinkedIn account's tab, press Use different media for this channel and pick the PDF. If LinkedIn is the only account on the post, you can pick the PDF under Media instead.
  3. The format turns to Document by itself, and Document title gets the file name. LinkedIn shows the title on the document. Change it if you like.
  4. Pick images under Media for your other accounts, such as the same slides as images for an Instagram carousel.

What to know:

  • A document post holds one PDF and nothing else.
  • Every other platform says no to a PDF, and the preview says so on its card.
  • After you publish, LinkedIn needs a moment to turn the pages into slides.

First comment (optional)

Instagram only. Postfjord writes this as the first comment under the post, a moment after it goes live. Many people put hashtags here to keep the caption clean. If the comment cannot be posted, the post still goes out without it.

Music on a Reel (Instagram)

A Reel can have a song or a sound from Instagram. Open the Instagram tab, pick Reel under Format, and press Add music.

  1. The list starts with what is popular on Instagram right now. Type in the search box to find a song or an artist.
  2. Switch between Music and Sounds from Reels at the top.
  3. Press the play button to hear a sample. Nothing plays until you press it.
  4. Press Use on the one you want. It shows under Music with its name.
  5. Two sliders set the volume: Music volume for the song, and Your video's own sound for the sound in your video. 100% is full volume.
  6. Save the post.

Instagram adds the music when it posts the Reel. The sample in Postfjord is only the song, not your video with the song, so you hear the mix for the first time on Instagram. Press Remove music to post the Reel with its own sound again.

Good to know:

  • Instagram shows apps a smaller list of music than the Instagram app has, so a song you know from Instagram may be missing.
  • Music works only for Instagram accounts connected with Facebook (the Instagram + Facebook card under Channels). An account connected with Instagram only shows a note in place of the button, because Instagram does not offer music to apps for those accounts.
  • Music goes on Reels only. A post, carousel or story goes out without it.
  • Music on Reels is new and open to a small group of testers first. If you do not see Add music, it is not open for your workspace yet. If you picked a song while it was open and it closes again, the Reel goes out without the song, and the post still goes out.

Pin title and Board (Pinterest)

Pin title is optional, up to 100 characters. Board is where the pin goes. Leave it on the default board you picked under Channels, or pick another board for this pin. A pin cannot go out without a board. More in Channels, Pinterest.

TikTok settings

A TikTok tab asks TikTok about your account the moment it opens and shows Posting as with your name. Then you choose:

  1. How the video goes to TikTok: Send it to my TikTok inbox is chosen for you. You add sound and post it in the TikTok app yourself. Or choose Post it on TikTok, and Postfjord posts it. With the inbox, that is all: the steps below are for Post it on TikTok.
  2. Who can see this video: nothing is picked for you. Schedule and Publish now stay grey until you choose. Until TikTok finishes an extra check of Postfjord, Only me is the one choice you can pick, so only you can see the video.
  3. Allow people to: Comment, Duet and Stitch stay off until you tick them.
  4. Disclose video content: turn it on if the video promotes you, a brand, a product or a service, then tick Your brand, Branded content or both. Branded content cannot be Only me, so it stays off until TikTok's check is done.

Hover over the grey Schedule button and it says what is missing. More in Channels, TikTok.

Posts to X this month

When X is one of the accounts, the text box shows how many of the month's posts to X are used and how many more are scheduled. When they are all used, Schedule says when the next ones start. X counts a link as 23 characters and an emoji as 2, and the counter does the same. More in Channels, X.

Preview

On the right, one card per account shows the post as it goes out: the account name, the format, the first image or video, the text and the hashtags. With several files the card shows how many. When something is wrong, the card shows the first problem in red, with a count of the rest.

Pick no account and the preview is empty.

DM automation for this post

When an Instagram or Facebook account is picked, a card under More options lets you attach a comment-to-DM automation to the post before it goes out.

  1. Under Send a DM when someone comments, pick one of your comment automations. Leave it on None and the post has no automation.
  2. No automation yet? Press Create one from a keyword and fill in Keyword, Opening message, Button label, Message with the link and Link. Press Create one from a keyword at the bottom to save it. It is attached to this post right away.
What happens when someone comments your keyword
  1. Comment with the keyword: For example GUIDE under this post
  2. Opening message: A DM with your button, like Send me the link
  3. They tap the button
  4. Message with the link: The DM with your link lands in their inbox

The choice is saved with the post, and Posts shows it as a badge. The moment the post is published, on every picked Instagram or Facebook account, Postfjord attaches the live post to the automation, so it starts answering comments with the keyword at once. No guessing which post is next. After publishing, the card shows the automation read-only with Open automation.

Your plan runs a set number of automations at once. When you already have that many, the card says so, and a new one cannot be created here until you switch one off under Automation or move to a bigger plan under Account. See Automation for the rest.

Check the comment word

Some posts ask people to comment a word to get something, like "Comment GUIDE and I'll send you the guide". Postfjord reads the text, and a yellow Check the comment word box shows above Schedule when nobody would answer that word:

  1. On a channel that cannot answer comments with a DM. That is every channel except Instagram and Facebook, for example X, LinkedIn, Threads, Bluesky and Mastodon, and an Instagram story. Change the words in that channel's tab, or take the channel off.
  2. On Instagram or Facebook with no automation for the word. No comment automation that is on answers that word on that account. Pick or make one under DM automation for this post, or change the words.

The box is a warning. You can still schedule or publish the post.

Writing about the idea itself, for other businesses? Write it as an example, like "your followers comment a word and get the guide in a DM". Then Postfjord shows no warning, and nobody reads it as an offer from you. Bo writes it that way too. He only asks people to comment a word when an automation answers it.

The same check runs when a post is scheduled through the API or an AI app: the answer then has a warnings list. See MCP server.

Publish at

The date and time the post goes out. The label shows the workspace time zone in brackets, for example (America/New_York), and the time is read in that zone wherever you are. Your laptop's own clock does not count. A post you open again shows its time in the workspace zone too. Change the zone under Settings, General.

On the night the clocks change, a time that does not exist moves forward: 2:30 on the night the clocks jump from 2:00 to 3:00 becomes 3:30. A time that happens twice, when the clocks go back, means the first one.

A post you start from + in the calendar begins at 9:00 that day. A time in the past is refused with "That time is in the past."

Leave it empty and the post can only be a draft or go out with Publish now. A scheduled post always opens with its time filled in here, also when you open it from the calendar or the queue, or when Bo scheduled it.

Drafts save by themselves

A new post and a draft save a moment after you stop typing. You see "Saving…" and then "Draft saved automatically". Close the page whenever you like: the draft is in Posts under Drafts and in Calendar under Unscheduled drafts.

A scheduled post does not save by itself. Your changes to it are kept only when you press Schedule again.

Saving needs an internet connection. If a save does not go through, a red line under the buttons says so, and Postfjord tries again by itself until it says "Draft saved automatically". If you close the tab before that, your browser asks first. If you go to another page in Postfjord, what you typed is saved on the way.

If someone deletes the draft in Posts while you have it open, it stays deleted. The composer says so instead of saving, so copy your text if you want to keep it.

Save draft

Saves the post as a draft with no time. A draft never goes out by itself.

Press it on a scheduled post and the post comes off the schedule and becomes a draft. To change a scheduled post and keep it scheduled, press Schedule instead.

Schedule

Saves the post with the time in Publish at. Postfjord checks the post first. Schedule stops and says why when:

  • no account is picked,
  • an account tab has a red !, or
  • Publish at is empty or in the past.

Then Calendar opens with the post on its day. You can open it and change it until it goes out.

Publish now

Sends the post right away. A window asks "Publish now?" and lists every account it goes to. Press Publish now in the window to send it, or close the window to stop.

While it sends, a Publishing box shows each account: getting ready, sending, going live, published or failed. A video can take a few minutes while the platform processes it. You can leave the page. Publishing carries on, and the result shows under Posts.

Change, stop or delete a post

At the top right of the composer:

  • Cancel schedule on a scheduled post stops it from going out. It stays in Posts under Drafts, marked Cancelled, and you can schedule it again. Keep it scheduled closes the question and changes nothing.
  • Delete on a draft removes it for good.

A post that is publishing or already published opens read-only. The fields are grey and you cannot change it from Postfjord. A failed post shows what went wrong and three buttons: Retry, Back to draft and Delete. See Posts.

Members with the Viewer role see every post but cannot change one.

Client review

Posts you sent to a client for review show their answer at the top of the composer: waiting, approved, or asked for changes with their note. An answer changes nothing on the post. See Send posts to a client for review.

FAQ

Can I choose which part of my photo shows?

Yes. Open the channel's tab, pick Crop under Fit and drag the picture. Use Zoom to get closer. Each channel can show a different part of the same photo.

Can I turn my pictures into a reel?

Yes. Under Media, press Make it a reel. Postfjord makes a short tall video from the post's pictures, with slow movement and soft fades, and puts it on a new draft. Nothing is posted until you schedule that draft.

Can I make a story from a post that already went out?

Yes. In Posts, press Make a story on the post, or open it and press Make a story at the top. A new story draft opens with the post's picture. The post that went out stays as it is.

Why does my reel have no music?

Postfjord has no music it may add for you. Add a sound in the Instagram app after the video is posted, or make the video with sound in another app and upload it.

What does Show whole image do?

It sends the whole photo, nothing cut off. The empty space in the frame gets a soft blurred copy of the photo, so the post still fills the shape the network wants.

Do I have to fill in every field?

No. A post needs one account, and a time if you schedule it. Instagram also needs an image or a video. Everything else is optional: leave a field empty and Postfjord uses the Base text, picks the format from your media, and posts without hashtags, link or first comment.

Why does the composer say to check the comment word?

The post asks people to comment a word to get something, and nothing would answer it: the channel cannot send a DM from a comment, or no automation that is on listens for that word. Change the words, or add an automation for the word. You can still schedule the post.

Why is Schedule grey?

Publish at is empty, or a TikTok setting is missing, or a save is running. Pick a time in Publish at and wait a second.

Why does it say "Fix the validation errors before scheduling"?

One of the accounts has a problem. Look for the tab with a red ! after its name, open it, and read the red lines at the bottom. Common ones: no image for Instagram, several images on the Post format, or a link on an Instagram post.

I changed the text, but Instagram still shows the old one. Why?

That account has its own text in its tab. Open the tab and empty Text for this channel, and it follows Text again.

I edited a scheduled post and pressed Save draft. Why is it not scheduled any more?

Save draft turns a post into a draft without a time. Pick the time again in Publish at and press Schedule.

What happens if I close the page before I press Schedule?

The post is a draft. It saved while you typed, and it waits in Posts under Drafts. It never goes out by itself.

Can someone mark a post as published by hand?

No. Only Postfjord marks an account as published, after the platform says the post is live and sends back its link. Nobody in the workspace can set that status, the post link or the post number by hand. So the links in your emails, the numbers in Analytics and the posts your DM automations listen to are always the real ones.

Can I undo Publish now?

No. Once it is published, delete the post on the platform itself if you want it gone.

Why does Dictate say it may not use the microphone?

The browser or phone has said no to the microphone for Postfjord. In the browser, click the icon to the left of the address and allow the microphone. On a phone, open the phone's settings, find the browser or the Postfjord app and turn the microphone on. Then press Dictate again.

Which languages can I dictate in?

Dictation listens for your workspace's language, the one set under Brand voice. Speak that language and short sentences come out right too. English, Swedish and most other big languages work. If you speak another language than the workspace's, the text can come out wrong; change the language under Brand voice, or write that part yourself.

Does Check post stop me from publishing?

No. It only shows notes. You decide what to change, and you can schedule or publish whatever the notes say.

Does the AI tools part of Check post cost extra?

It runs in the same check, so there is no extra call. The check asks a few more questions, so it uses a little more of the AI budget than before, still a fraction of a cent. It works the same on every plan.

What does Check in-feed look at?

Whether a reader gets the point of the post without clicking the link, and whether the post gives or asks. It is advice only, like Check post. See In-feed check and give or ask.

How long can an Instagram caption be?

Up to 2,200 characters, hashtags included. The counter turns red past that. Instagram shows only the first lines in the feed, so put the important part first.

Can I add a first comment?

Yes. Instagram posts can have a first comment, often used for hashtags, so the caption stays clean. Open the Instagram tab and fill in First comment (optional).

Can I put a link on an Instagram post?

Not in the post. Instagram does not open links in captions, so Postfjord stops a post to Instagram that has a Link. Put the link in your bio, or attach a DM automation that sends it to people who comment.

Can I attach the automation to a post that is already published?

Yes. Open the automation in the wizard and pick the post under A specific post or reel; the composer card only binds posts that have not been published yet.

How many posts can I have scheduled?

Up to 500 at once in a workspace. That counts posts waiting under Scheduled, not drafts or posts that went out. At 500, Schedule says so: publish, unschedule or delete a few, then schedule the post again. The same limit holds for posts scheduled through Bo, the API, an AI app or a file of posts.

Can I publish the same post to several workspaces?

No, a post belongs to one workspace. Duplicate it from the queue if you need it elsewhere.
