Email signature generator

Pick one of five layouts, fill in your details and copy a signature that works in Gmail and Outlook. Free, no account.

Pick a layout

A picture must already be on the web, so paste its address. Email apps load pictures from there. Leave it empty for a signature with no picture.

Your signature

Show the HTML code

Runs in your browser. Nothing you type is sent to Postfjord or saved.

How to use the generator

  1. Pick a layout. There are five, from a one-line signature to a banner.
  2. Fill in your name and the details you want to show. Leave a field empty and it is left out.
  3. Choose a color that fits your brand.
  4. Press Copy signature and paste it in your email app, or press Copy HTML code if your app asks for code.

The signature is made of tables with the style written into each piece. That is the one way that Gmail and Outlook both draw the same way. The tool runs in your browser, and what you type is not sent anywhere.

Add it to Gmail

  1. In Gmail, open Settings, then See all settings.
  2. Under General, scroll to Signature and press Create new.
  3. Click in the box and paste. The layout and links come with it.
  4. Scroll down and press Save changes.

Gmail does not take code in the signature box. Paste the copied signature, not the HTML code.

Add it to Outlook

  1. In the new Outlook, open Settings, then Accounts, then Signatures.
  2. Press New signature and give it a name.
  3. Click in the box and paste.
  4. Choose when it is used, and press Save.

In the older Outlook for Windows, open File, Options, Mail and Signatures, and paste the same way. If you work with the HTML code, some versions let you keep the signature as a file, and the code goes in that file.

A picture in your signature

An email app shows the picture from a web address, so the picture must already be online. Use your logo from your website, or a photo from a page you control. A small picture is best, around 100 pixels wide. Some apps hide pictures until the reader allows them, so the signature should read well without one.

Keep it short

  • Name, role and one way to reach you is enough.
  • Two or three links at most.
  • One button, if you have one thing you want people to do.
  • Avoid long legal text. Add it only if you must.

FAQ

Does the signature work on a phone?

Yes. The layouts are narrow and read on a phone. Set the signature in your phone's mail app too, since the one from your computer is not always shared.

Why does my picture not show?

Either the address is wrong, or the reader's app blocks pictures until they allow them. Open the address in a browser to check it. It must start with https:// and end at the picture.

Do I need a logo?

No. A signature with your name and details looks clean. Add a logo or photo when it helps people know who you are.

Does the generator save what I type?

No. It runs in your browser. Nothing you type is sent to Postfjord or saved, and the tool sets no cookies.

Can I change the signature later?

Yes. Come back, fill in the new details and copy it again. Then replace the old one in your email app.
