What ChatGPT can do for a small business, and where it stops

Six marketing jobs ChatGPT does well for a small business, with prompts you can copy, and the three it cannot do alone. How connecting ChatGPT to Postfjord lets it publish, keep your brand voice and read your numbers.

If you run a small business, you have probably opened ChatGPT at least once to write a caption at 11 PM. You are in good company. And you have probably also noticed where it stops: it writes the post, and then the post sits in a chat window while you copy it somewhere else.

This guide covers both halves. First, six marketing jobs ChatGPT does well for a small business, each with a prompt you can copy. Then the three things it cannot do on its own, and how connecting it to your scheduler closes them.

Our example is Harbor Coffee, a café with two employees in Portland, Maine. Swap in your own business as you read.

Who uses ChatGPT, in numbers

ChatGPT is the chatbot most Americans have tried. In February 2026, 44% of US adults said they use it, up from 18% in 2023, according to Pew Research Center's Americans and AI 2026 report.

Pew notes that the 2026 question was worded differently from earlier years, so read the last step as a trend, not an exact jump. In the same survey, ChatGPT sits well ahead of the other chatbots.

Businesses are slower. The US Census Bureau's Business Trends and Outlook Survey put AI use at 19.8% of US firms in spring 2026, and under 20% of firms with four or fewer employees. In retail, about 14% use it. So most small business owners have tried ChatGPT at home, and most have not yet made it part of how the business runs. The six jobs below are a good place to start.

Six jobs ChatGPT does well for a small business

Each job starts with the same habit: give ChatGPT the facts it cannot guess. It does not know your prices, your hours or who walks through your door. Three or four sentences about the business at the top of the chat change the answers more than any clever prompt.

Harbor Coffee's opening lines:

We are Harbor Coffee in Portland, Maine. Espresso, drip, pastries from a local bakery. Open 6:30 AM to 3 PM, closed Mondays. Our regulars are commuters on weekdays and families on weekends. We post on Instagram and Facebook. Our voice is friendly and short, with one emoji at most.

1. Captions for the photos you already have

This is the job most owners start with, and it works. Describe the photo and say what you want people to do.

Write three Instagram captions for a photo of our new maple latte on the counter by the window. Under 50 words each. End with when it is available: weekdays until the end of October.

Ask for three, pick one, and tell ChatGPT why. It uses that note for the rest of the chat.

2. Replies to comments and messages

Most small businesses answer the same ten questions every week: hours, parking, whether you take reservations. Have ChatGPT write a short, friendly answer to each, then save them as ready replies.

Write replies to these questions from customers, in our voice, under 30 words each: Do you have oat milk? Can I bring my dog? Do you do catering for offices?

3. A month plan

A plan beats a blank Monday. Ask for the structure first and the posts later:

Plan November for us: 3 posts a week on Instagram and Facebook. Give me a table with date, topic and format (photo, carousel or Reel). Include Small Business Saturday on November 28 and our holiday gift card.

A table is easy to check. You see at once when two sales posts land in a row.

4. An email to your list

ChatGPT writes a decent first draft of a short newsletter if you give it one thing to say.

Write a short email to our customers about our new winter hours, starting November 3: 7 AM to 2 PM. Subject line under 40 characters, three short paragraphs, one link to our menu.

5. A rewrite of your menu or price list

Owners write menus once and never look again. Paste yours and ask for plain words:

Rewrite our menu descriptions so each one is under 12 words and says what it tastes like. Keep the prices as they are.

Check every price yourself afterwards. ChatGPT copies numbers well most of the time, and most of the time is not good enough for a price list.

6. Replies to reviews

A calm reply to a two-star review is hard to write when you are annoyed. ChatGPT is not annoyed.

A customer left this review: "Waited 15 minutes for a latte on Saturday." Write a reply under 60 words that thanks them, does not make excuses, and invites them back on a weekday morning.

Read it aloud before you post it. If it sounds like a company and not like you, say so and ask again.

Three things ChatGPT cannot do alone

All six jobs end the same way: with text in a chat window. That is where ChatGPT stops, and it stops in three places.

It cannot publish

ChatGPT writes the post. It does not put it on Instagram at 7 AM on Tuesday. You copy it, open the app, add the photo, fix the line breaks and post it, or you paste it into a scheduler. With twelve posts a month on two channels, that is 24 trips between tabs. Most month plans stall right here.

It does not keep your brand where you publish

Whatever ChatGPT knows about your voice lives in your ChatGPT account. Your employee's ChatGPT does not have it, and neither does the tool your posts go out from. Each person pastes the same four sentences into each new chat, and the voice drifts a little every time.

It cannot see your numbers

Ask ChatGPT which of your posts did best last month, and it has to guess. It cannot open your Instagram insights. So its plan for next month is built on what works for cafés in general, not on what worked for yours.

How connecting ChatGPT to Postfjord closes all three

What you need

A ChatGPT plan with custom connectors. OpenAI's page Developer mode and MCP apps in ChatGPT (checked September 28, 2026) says Business, Enterprise and Edu can add a custom MCP app that writes, on ChatGPT on the web. Pro can connect with read permissions only, so ChatGPT can read your brand voice, calendar and numbers but cannot create drafts. The page does not list Free, Go or Plus. OpenAI changes these pages often, so check before you upgrade.

A Postfjord plan with the API. It is included from the Solo plan, $39 a month or $29 a month paid yearly. Only the workspace owner can connect an app. See Pricing.

The setup

  1. In ChatGPT on the web, turn on developer mode and create a new connector.
  2. Name it Postfjord, paste https://app.postfjord.com/api/mcp as the MCP server URL and choose OAuth as the sign-in.
  3. Sign in to Postfjord, pick the workspace and what ChatGPT may do, and press Allow.

Choose Drafts only in step 3 when you start. ChatGPT can then write drafts, but a draft can never get a date, so nothing goes out until you schedule it yourself. The connection shows under Settings, Apps, Your keys, and removing it there disconnects ChatGPT at once. More in Connect other apps.

If your ChatGPT plan does not have it

Claude connects the same way, with a sign-in and no key, and Anthropic's help page on custom connectors lists them on its Free plan too, limited to one. The steps are under Claude.ai and ChatGPT.

A weekly routine for a busy owner

Here is how Harbor Coffee's owner spends 30 minutes on Sunday evening:

  1. In ChatGPT, ask what is scheduled for the week and where the gaps are.
  2. Ask for posts for the gaps, as drafts in Postfjord.
  3. Ask ChatGPT for replies to any new questions that came in through DMs, and save the good ones.
  4. In Postfjord, add photos to the drafts, read each one aloud and schedule them.
  5. Once a month, ask which posts did best, and plan the next month from that.

Step 4 stays with you. ChatGPT writes well, but it has never tasted your maple latte.

FAQ

Is ChatGPT good for small business marketing?

Yes, for writing: captions, replies, a month plan, emails, menus and review replies. It is weaker at everything after the writing. It cannot publish, it does not see your numbers, and its idea of your brand stays in one person's account unless you connect it to the tool you publish from.

Can ChatGPT post to Instagram for me?

Not on its own. Connected to Postfjord with a level that allows it, ChatGPT can create drafts and, if you choose Schedule and publish, schedule them. We suggest starting with Drafts only, so you read every post before it goes out.

Which ChatGPT plan do I need to connect it to Postfjord?

According to OpenAI's developer mode page, checked September 28, 2026: Business, Enterprise or Edu to create drafts, and Pro to read with no writing. The page does not list Free, Go or Plus.

Does connecting ChatGPT cost extra in Postfjord?

No. The connection is included from the Solo plan. Text ChatGPT writes itself does not count against your Postfjord AI budget. If you ask it to use Postfjord's own composer, those drafts count like drafts written in the app.

Is my data safe if I connect ChatGPT?

The connection belongs to one workspace, the one you pick when you sign in, and to the level you choose. Everything it does is logged like any other user's actions. You can remove it at any time under Settings, Apps, Your keys.
