Your own AI key is under Settings → AI, and Mailchimp under Settings → Apps → Bring your contacts in. The workspace owner connects them; editors can start a Mailchimp sync. Apps that work in Postfjord with a key, like Claude or Muse, are on Connect other apps.
Your own AI
Every AI feature in Postfjord, Bo included, runs on Postfjord AI (Claude) and is included in your plan's monthly AI budget. You do not need to connect anything. Settings → AI shows this at the top, with this month's usage. If you already pay for an AI provider, or prefer another model, connect your own key under Use your own AI key (optional) on the same page:
- Create an API key with the provider. Each card has a Get a key link: Anthropic (Claude), OpenAI (ChatGPT), Google AI Studio (Gemini), DeepSeek or Mistral.
- Paste it on the provider's card and press Connect. Postfjord checks the key, stores it encrypted and suggests two models: a stronger one for posts, the brand profile and week plans, and a faster one for rewrites, hashtags and DM replies. Choose models lets you pick any chat model the key can use.
- Under AI for this workspace, choose the provider and press Use this AI.
From then on the composer, the brand profile, week plans and AI replies in automations use your key. Those calls do not count toward the plan's AI budget; the provider bills your account. The help assistant always uses Postfjord AI. If the key stops working, AI features show the provider's error and the card shows the last error. Postfjord never switches to its own key behind your back. Choose Postfjord AI again at any time.
Mailchimp
- In Mailchimp open Profile, Extras, API keys and press Create A Key. Copy the key.
- In Postfjord paste it under Settings → Apps → Mailchimp and press Connect. The key is stored encrypted and never shown again.
- Choose the audience and who is synced: everyone with an email address, or one of your saved contact segments.
- Choose how new contacts are added. Ask them to confirm by email first sends Mailchimp's own confirmation email (double opt-in). Choose Subscribe them right away only when people have agreed to your emails, for example with a yes question in your automation.
- Press Save, then Sync now to send everyone who is already in Postfjord.
From then on every contact whose email, first name, last name, birthday, phone or tags change is updated in Mailchimp within seconds. First and last name go to FNAME and LNAME, the birthday to BIRTHDAY as month and day, and the phone to PHONE, when the audience has those fields. Postfjord never blanks a value in Mailchimp: empty fields are left out. Tags are added in Mailchimp with the same name when Add their Postfjord tags is on.
People who wrote STOP to your automations are not synced. Neither is someone who signed up with a form or in an automation and has not clicked the confirmation link yet: they are synced the moment they confirm. Someone who clicked the confirmation link in Postfjord's email is added to Mailchimp as subscribed, so Mailchimp does not send them a second confirmation email. Imported contacts follow your choice for new contacts. When someone unsubscribes from an email Postfjord sent, they are unsubscribed in your Mailchimp audience too, and the Mailchimp CSV on the Contacts screen leaves them out. Disconnecting leaves everyone already in Mailchimp untouched.
Import from Mailchimp
Moving over from Mailchimp takes no file. (Any other tool, or Mailchimp without connecting it, goes through a CSV file: see Import contacts from a file.) With Mailchimp connected, the owner opens Import from Mailchimp in the Mailchimp card, picks the audience and presses See what would be imported. Nothing is saved yet: you see how many people are subscribed, unsubscribed, bounced or not confirmed, which fields and tags come along, and how many were added by hand in Mailchimp.
Then tick that the subscribed people agreed to get email from you and press Import. What happens:
- Subscribed people come in with their consent, and each keeps the proof from Mailchimp: when and from which IP address they signed up and confirmed, and how they were added (a form, an import, or by hand).
- Unsubscribed people come in as unsubscribed and are never emailed.
- Bounced addresses (Mailchimp calls them cleaned) are blocked in this workspace.
- Not confirmed people come in without consent.
- Someone who already unsubscribed from you in Postfjord stays unsubscribed.
- Fields come along with their type, dates included. A phone field that holds an IP address (it happens after old imports) is kept as proof, not as a phone number.
- Tags keep their names; a tag you already have is reused.
- A person who is already a contact here keeps their own values: tags are added and empty fields filled.
People who came in with an import have not written to you, so they show under Contacts but not in the Inbox. The import is saved in the workspace's import history with the date, the counts and who ran it. You can run it again; nobody is added twice. Nothing from the import is sent back to Mailchimp.
FAQ
Can I import a Mailchimp list I bought?
No. Import only people who signed up for your email or bought from you and were told they would get it. The proof each person keeps shows where they came from, and Postfjord may pause sending for a workspace that emails people who never agreed.
Why does Mailchimp not show a new contact?
The contact needs an email address, and with a segment chosen it has to match the segment. With Ask them to confirm by email first the contact is pending in Mailchimp until they confirm. The Mailchimp card under Settings → Apps shows the last error if Mailchimp refused something.
Which AI should I choose?
Postfjord AI is tuned and tested for every feature and needs no setup. Choose your own key when you already have credit with a provider or want a specific model. Instructions and structured answers work best on the larger models; a very small model may write weaker posts.
Where does my data go with my own AI key?
The brief, your brand profile, recent posts and, for AI replies, the DM thread are sent to the provider you chose, under that provider's terms. Check them before connecting, especially for GDPR: DeepSeek, for example, processes data in China.
Can I use Klaviyo or Google Sheets?
Not yet. Export a CSV from Contacts meanwhile, and tell us which integration you need. Bringing contacts in from a CSV file, which covers Brevo, Klaviyo and Kit, is coming to Settings → Apps.
