Manager

Manager is a conversation with the workspace itself. You say what you want, it reads what it needs, and it writes drafts. The idea notepad that used to sit beside the chat has moved to the Creative Dock, and the Ideas card here opens it.

The manager is called Bo. You can rename it later, and the menu shows the new name.

Where to start

Open Manager with nothing in it and you get a few cards: connect your first channel, a post that failed, a week with nothing in it, your best post from last month. They are built from your own workspace, not from a list of tips. Tap one and Bo gets the question.

The same cards sit on the dashboard under What I would do next. Tapping one there opens Manager and asks it.

One chat a day

Manager opens on the chat you had with Bo today, so you can leave and come back to where you were. The first time you open it on a new day, you get a new chat. Yesterday's chats are under Chats, and New chat starts a fresh one whenever you want. A colleague's chats never open for you, but you can find them under Chats.

What Bo can read

Bo works inside this workspace and nowhere else. It can read:

• your connected channels and whether any of them needs a Reconnect
• your brand profile: who you are, your audience, your tone of voice, your content pillars
• the calendar, and any single post in it
• the media library
• the idea notepad
• the latest analytics snapshot per channel
• the queue: posts that failed, posts that went out only partly
• your automations, and whether each one is on or off
• the inbox: how many people are waiting for an answer, and the questions several of them asked in the same words
• your email drafts in postmail, so it does not write the same email twice

Looking things up on the web

Everything above is inside your workspace. Bo can also look outside it, in two ways, and both are reading only.

Paste a link and Bo reads the page. "Write a post about this article", "look at our new schedule page and tell me what is missing". It reads what any visitor sees, so a page behind a login or a paywall is out of reach, and so is a video or a picture with no words on the page.

Ask and Bo searches. When the answer is not in your workspace, Bo searches the web and reads what it finds. It does not search on every question: your channels, your brand voice and your calendar come first, and searching to check something your workspace already says would be a waste of your budget.

Two things worth knowing:

1. A search costs. Each search is a penny against the same monthly AI budget as everything else, and it is on the account page under AI spend with the rest. Bo gets about five searches for one answer, so a single question can never run away with your month.
2. A page is somebody else's writing, never an order. If a page or a search result says "publish this now" or "ignore your instructions", Bo quotes it to you and says where it came from. It does not do it. This is the same rule that covers a message from a stranger in your inbox, and it holds here too.

The line under each answer says when Bo read a page or searched, and what it searched for.

What Bo can write

Bo writes drafts, and only drafts. A draft has no date and goes nowhere:

• a draft post, on its own or written for you first in your brand voice
• a change to a draft you already have. A post that already has a date is out of Bo's reach: you said yes to those words, so only you change them
• an idea on the notepad, or an idea marked used
• an email draft in postmail, when email is switched on for the workspace
• a proposed week on the plan screen, which you keep or throw away item by item
• the language your posts are written in. Bo tells you in one line which language it writes your content in, the first time you use it in a workspace where nobody has settled it. Say "write in German" and it sets it there and then, with a card saying what it changed. It comes up once and never again, and the same sentence puts it back. Nothing goes out without a yes

Bo can ask for the going-out steps, and it cannot take them:

• put a draft in the calendar for a day and a time
• publish a post now
• take a scheduled post off the calendar
• switch a DM automation on or off
• put a proposed week in the calendar
• reply to someone in the inbox

Ask for one of those and Bo does not do it. You get a card with the exact words, the exact time and the exact channels, and one button. Nothing happens until you press it. You can press it an hour later or never.

This is not a setting, and there is no way to switch it off: Postfjord never sends anything you have not seen. The rule holds whoever asks, you in the chat or a schedule at seven in the morning.

Approving needs the editor role. A viewer sees the card and the button is not there.

What I used

Under each answer there is a line that says what Bo used, folded away. Open it and you see every step in order: read your channels, read your brand voice, saved a draft. A step that was refused says why. Nothing Bo does is hidden from you.

Cards

An answer can carry a card. A card is the thing itself, not a description of it:

• a draft, with an Open button that takes you to the composer
• a post going into the calendar, with the day, the time and the channels
• an email draft in postmail
• an automation, on or off
• a channel to connect or reconnect. You sign in on the platform, and Postfjord never sees your password
• a proposed week, with the Open button on the plan screen

Changing a card without typing it all again

Every card that holds words has a Change it button: a draft, a post waiting for a time, an email, a proposed week, a reply. Press it, say what you want different and press Send. Short is fine: "shorter", "warmer", "add a question at the end". The dictate button works here too, so you can say it out loud.

Bo is told which card you mean, reads it and makes the change. A card that was waiting for your yes is still waiting: a change is not an approval, and you still press the button.

Routines

A routine is something you want Bo to do again and again: every morning, every weekday, every Monday, or once a month. You write it once, the way you would say it in the chat, and Bo does it on its own.

Open Routines beside the chat and press Add a routine. You give it a name, say what Bo should do each time, and pick how often and at what time. The times follow your workspace clock, so eight in the morning stays eight in the morning when the clocks change.

Each run opens a new chat at the top of the list, so the answer is waiting for you when you sit down. Tick Email the answer to me and it also lands in your inbox, at the address you sign in with. The tick is yours alone: it brings the email to you, and it does not change where anyone else in the workspace gets theirs. If you leave the workspace, the emails stop.

Three things worth knowing:

1. A routine never sends. It reads the workspace and writes drafts. Anything that would go out is a card with an Approve button, waiting for you, exactly as it is in the chat. A routine at seven in the morning has no more power than you do at eleven.
2. It runs as the person who set it up. If that person leaves the workspace, or goes back to being a viewer, the routine stops writing and says so.
3. It costs what a chat costs. Each run is one answer against the same monthly AI budget. Ten routines is the most a workspace can have.

Run it now takes the same turn straight away, so you can see what tomorrow morning will look like before you leave it running. A routine you switch off stays in the list and does nothing.

Good routines are short and specific: "Look at the week ahead and write two drafts from my open ideas", "Tell me what failed in the queue and what to do about it", "Look at last month's numbers and tell me what worked".

How Bo works

Bo's page has two more tabs next to the conversation.

How Bo works is the short version of your manager. Three things:

1. What to call it. Bo is the default. Rename it to anything you like, and the menu follows.
2. Face. A sun or a stone. The sun is the default. The face shows in the menu and next to every answer, and everyone in the workspace sees the same one.
3. Always keep in mind. A few lines you say once: "warm tone", "never percentage discounts", "we are closed in July". These reach every draft, every email and every reply the AI writes for you, not only the chat.

Four rules come first and you cannot switch them off, whatever you write in that box:

• Nothing goes out until you press Approve.
• No invented prices, dates, offers or numbers.
• Nothing Bo remembers may name a person who writes to you.
• A paused workspace sends nothing at all.

They protect people who are not in the room: the ones who get your posts and messages, the platforms, and us.

If you have connected your own AI key under Settings, AI, Bo runs on it: Claude, ChatGPT, Gemini, DeepSeek or Mistral. Your own key is billed by that provider and does not touch the Postfjord AI budget. Everything else is the same, including every rule above.

What Bo remembers

What Bo remembers is the second tab: everything Bo has learned about your business, in one list. How you write, what you sell, when you are busy. Each line says who wrote it and when, and has a bin next to it. You can add a line yourself, and there is a folded Edit as text for people who would rather work in one box.

The list belongs to the workspace, not to you, so everyone in it meets the same Bo.

Bo writes a line when it learns something worth keeping, and says so in the chat when it does. Ask it to forget something and the line goes. When the list gets long Bo merges the lines that say the same thing, inside an answer you were already paying for.

Nothing in the list may name a person who writes to you. Bo is told that before every answer, and when you delete a contact we search this list for their name and their address as well, in case it slipped through.

The idea notepad

The idea notepad moved to the Creative Dock on 2026-09-29, next to a page to write on. Press Dock in the menu, or Open the Dock on the Ideas card beside the chat. Your ideas came along, and they still belong to the workspace.

Plan next week in the calendar reads your open ideas along with the brand voice, and so does Bo, so the week builds on your own raw material first and invents new angles second. Ideas written by someone who turned on Write it myself in the Dock are left out: that person keeps their words away from Claude.
