Sometimes the right thing is to go quiet. A death in the family, a crisis in your town, a mistake in a campaign, bad news in the world. Pause everything stops all that Postfjord would send for this workspace by itself, at once, and starts it again when you say so.
Only an owner of the workspace can pause it and start it again.
How to pause
- Open Settings → General.
- Under Pause everything, pick when to start again, if you know. Leave it empty to start again by hand.
- Write a short note for your team if you like, for example "Closed for a family funeral".
- Press Pause everything and read the list of what stops. Press Pause to confirm.
Everyone in the workspace now sees a notice at the top of the app that says who paused it and when. Owners can press Resume right there.
What stops
- Scheduled posts. None go out. A post whose time comes during the pause moves to the drafts and keeps its time, so you can see what you missed.
- Scheduled emails. None go out. An email whose time comes during the pause goes back to a draft the same way. Send now on an email works again after you resume.
- An email that is already going out stops where it is. When you resume, it goes on to the people who did not get it yet. If it was the mistake, stop it under Campaigns before you resume.
- Email automations. Nobody gets their next email while you are paused. When you resume, each person gets the next one, a little later than planned.
- DM and comment automations. Nobody gets an automatic reply, a keyword reply or a delayed follow up. Replies that were waiting for their time are dropped, so nobody gets them late.
- Automatic tries again. A comment reply that failed is not tried again by itself. It stays under Failed on the automation, where you can press Send again.
- Evergreen reposts. No new copies are made.
- Apps and AI apps. Apps that use your API key, and AI apps such as ChatGPT or Claude, can still read and write drafts. Anything that would schedule, publish or send gets the answer "This workspace is paused. Resume it in Postfjord."
What keeps working
- Messages and comments still arrive. You see them in the Inbox as always. Nobody is lost.
- You can still reply by hand. A reply you write yourself in the Inbox goes out. The pause is about what Postfjord sends by itself, so a person can still answer a worried customer.
- You can still publish by hand. Publish now in the composer still works, after a question that reminds you the workspace is paused.
- Opt-outs. Someone who writes STOP is still opted out.
- Confirmation emails. Someone who signs up through your form still gets the email that asks them to confirm, because they asked for it.
- Planning. You can write drafts and schedule posts and emails for later. If their time comes while you are still paused, they wait under Missed while paused.
- Your pages. Landing pages and the link in bio page stay as they are, and a page set to open at a time still opens then. To take one down, unpublish it under Pages.
Nothing is deleted or cancelled.
Starting again
Press Resume in the notice at the top of the app, or under Settings → General. If you picked a time, Postfjord starts again by itself within a few minutes of it. A post planned for that exact time still goes out on time.
Nothing you missed is sent when you resume. Posts and emails whose time came during the pause are listed under Missed while paused, at the top of the app. For each one you choose:
- Publish now (or Open for an email, where you can send it).
- Pick a new time, which opens it so you can schedule it again.
- Leave as draft, which takes it off the list and keeps it as a draft.
Posts and emails planned for after the pause go out at their time, as before.
Pause and suspension
A pause is your own switch. A suspension is set by Postfjord when a workspace breaks the terms, and only Postfjord can lift it (read more). If both are on, the suspension decides.
FAQ
Who can pause a workspace?
Owners. Editors and viewers see the notice and the list of what was missed, and editors can publish, reschedule or keep the missed posts as drafts.
Will my missed posts all go out at once when I resume?
No. Nothing that was missed is sent when you resume. You choose for each post and email: publish it now, pick a new time, or keep it as a draft.
Can I still answer messages while paused?
Yes. Messages and comments still arrive in the Inbox, and a reply you write yourself goes out. Only automatic replies stop.
What happens to a post that was being published the moment I paused?
A post that had already started to publish can finish. Everything that had not started waits.
Does pausing cost anything or change my plan?
No. Your plan, your channels and your monthly numbers stay as they are. Pausing is free on every plan.
Can I pause for a set time?
Yes. Pick a time to start again, up to 90 days ahead. Postfjord starts again by itself within a few minutes of that time.
