Postfjord can post a short note in a Slack or Discord channel when something needs a person. Your team sees it where they already talk, and each note has a link that opens the right place in Postfjord.
You set it up once with a webhook address from Slack or Discord. Only the workspace owner can add one. It works on every plan.
What Postfjord sends
You pick which of these go to the channel. All of them are on until you turn one off.
- A new DM nobody has taken. Someone wrote in a conversation that nobody on the team is assigned to. One note per conversation an hour, however many messages they send.
- A comment no automation answered. No automation matched it, or the one that did could not reply, for example because the plan reached its contact limit. It waits for a reply on Instagram or Facebook. At most one note per channel every 15 minutes.
- A post that did not go out, on one channel or all of them, with the reason the platform gave.
- A new signup on one of your signup forms, also when the form sits on one of your pages.
- A new sale or booking, from your connected Stripe account or booking system. A Stripe test purchase sends nothing.
- A channel that needs a Reconnect, once per problem.
A note looks like this: Sunrise Yoga: New message on Instagram. Nobody on the team has taken it yet. Open the conversation.
Slack
- Open api.slack.com/apps and press Create New App, then Blank app. Name it Postfjord, pick your Slack workspace and press Create App.
- Press Incoming Webhooks in the menu and turn on Activate Incoming Webhooks. Press Add New Webhook, pick the channel and press Allow.
- Press Copy next to the new Webhook URL. It starts with https://hooks.slack.com/services/.
- In Postfjord, open Settings → Apps and press the Slack card. Paste the address and press Save.
Postfjord posts a first note in the channel right away. If Slack does not accept the address, nothing is saved and Postfjord says so.
Discord
- In Discord, open the settings of the channel (the gear next to its name) and go to Integrations.
- Press Webhooks, then New Webhook. You can name it Postfjord.
- Press Copy Webhook URL. It starts with https://discord.com/api/webhooks/.
- In Postfjord, open Settings → Apps and press the Discord card. Paste the address and press Save.
You need permission to manage webhooks in the Discord server. Postfjord's notes never ping anyone, not even with @everyone in a message.
Names and email addresses
Out of the box a note says what happened and where, with no personal details: "New message on Instagram", "New signup on the form Newsletter". It does not show who wrote or their email address.
Turn on Include names and email addresses under What to send if your team wants to see the name or email address of the person in Slack or Discord. The words of a DM or a comment are never sent, not even with this turned on. A public mention shows its words when it is on. Everyone in that channel can then read it, and Slack or Discord keeps it by their own rules. Turn it off again at any time.
How many notes
A workspace gets at most 30 notes an hour and 200 a day, together for Slack and Discord. On the Free plan it is 10 an hour and 40 a day. When there are more, one note says that the rest wait, and everything is still in Postfjord. Send a test works 5 times an hour, and saving an address counts as one.
If the notes stop
When Slack or Discord answers that the webhook is gone, for example because someone deleted it or archived the channel, Postfjord stops posting there and the card says Stopped. Make a new webhook and paste its address. A note that does not arrive for another reason, like Slack being slow for a moment, is not sent again, and the card shows that the last one did not arrive.
To stop all notes to a channel, press Remove on the card. To stop them from Slack or Discord's side, delete the webhook there.
While a workspace is suspended, no notes are sent.
FAQ
Can the team in Slack reply to the DM from Slack?
No. The note links to the conversation in Postfjord, and the reply is written there. That way the reply goes out from the right account and shows up in the inbox for everyone.
Can I send alerts to more than one Slack channel?
One Slack channel and one Discord channel per workspace. Each workspace in Postfjord has its own, so an agency can send each brand to its own channel.
Who can see the webhook address?
Nobody, once it is saved. Postfjord keeps it locked away and only uses it to post notes. The card shows the last four characters so you can tell which one it is.
Do I still get the emails?
Yes. Notes in Slack or Discord come on top of the emails, and the emails follow your own settings under Account.
