Count your bookings

Connect Calendly, Acuity or any other booking system, and see which DMs and automations turn into booked classes and appointments.

Connect the system people book with, and Postfjord counts every booking. You see which automation sent each person, and everyone who books gets the tag Booked. It is under Settings → Apps → Count your bookings. Only the workspace owner can connect a booking system.

How a booking is counted

  1. Put your booking link in a message in an automation, for example the reply to a comment that says CLASS. Postfjord turns it into a short link, like every link in an automation.
  2. Someone taps the link and books.
  3. The booking system tells Postfjord. Postfjord finds the person among your contacts, adds the tag Booked and counts the booking for the automation.

The count shows as Bookings on the automation under Automations, and the latest bookings are on the card in Settings → Apps. When someone cancels, the booking is taken off again.

A booking counts for an automation when the person tapped its link in the week before they booked. With Calendly the match is exact, because Calendly sends back the tags Postfjord put on the link. With the other systems the person is found by their email address, so they need to be a contact with that address, for example after they gave it to your automation.

Bookings from emails and landing pages

A booking link in an email or on a landing page counts too, with Calendly and with your own address when your system passes on the link's tags. The email report shows Bookings for that email, and the page shows them on its Numbers tab. A page keeps its bookings when you change its address later. Pages published before 27 September 2026 need to be published once more for that. Acuity does not pass the tags on, so there these bookings count in the month's total only.

Someone who books without being a contact is counted in the month's total but not added to your contacts.

Calendly

  1. In Calendly, open Integrations and then API and webhooks.
  2. Press Generate new token, call it Postfjord and copy it.
  3. In Postfjord, paste it on the Calendly card and press Connect.

Calendly shares bookings with other apps on its Standard plan and up. On the free plan Postfjord tells you so when you connect. The token is stored encrypted and is never shown again.

Acuity Scheduling

  1. In Acuity, open Integrations and then API.
  2. Copy your User ID and your API Key.
  3. In Postfjord, paste both on the Acuity Scheduling card and press Connect.

Acuity shares bookings with other apps on its Premium plan.

Other booking systems

Mindbody, Momence, Glofox and most other booking systems can send bookings to your own address. Press Turn on on the Other booking system card to get it. Then send each new booking and each cancellation to it, straight from the booking system if it can send webhooks, or with Zapier or Make:

  1. In Zapier or Make, start with New booking (or a new appointment or reservation) in your booking system.
  2. Add a step that sends a webhook: method POST, to your address, as JSON.
  3. Fill in the fields below from the booking. Make a second one for cancellations, with "status": "cancelled".

id and email are needed. id is the booking's own number in your booking system, so a cancellation finds its booking. Keep the address to yourself: anyone who has it can send bookings. If it gets out, press Make a new address and the old one stops working.

What Postfjord keeps

The class, the time, whether it was cancelled, and which contact and automation it belongs to. A booking link from an automation carries utm_source=postfjord, the link's code and a random reference to the person, never their name or Instagram account. The name and email address in a booking are used only to find the contact and are then thrown away. When you delete a contact, their bookings are deleted with them. Disconnecting a booking system stops new bookings, and the ones you have stay.

FAQ

Can a booking start an email?

Yes. Make an email automation under Email → Automations that starts when the tag Booked is added. It goes to people who said yes to your emails, like every automation.

Can Postfjord send a thank you DM after the class?

Not yet. Instagram and Messenger only let a business write within 24 hours of the person's last message, so a thank you the next day goes by email.

Why is a booking not counted for my automation?

The person has to tap the link in the automation and book within a week. With Acuity and the other systems they also need to be a contact with the same email address they booked with. Check that the link in the automation goes to your booking page.

Does Postfjord see my whole client list?

No. Postfjord only hears about bookings made after you connect, and only keeps the class and time of each.
